Description GENERAL RESPONSIBILITIES Performs professional and administrative tasks requiring knowledge of departmental operations and functions. Responsible for researching and coordinating business partnerships and Hanover Education Foundation (HEF) meetings, campaigns, events, and programs. Maintains proper financial records, general contacts, and donations throughout the year. Note: The HEF is a 501c3 entity operating with the support of division staffing, yet fully separate funding and independent leadership.

- Maintains effective working relationships with other employees and the public and deals with public relations problems courteously and tactfully;
- Keeps informed of events that pertain to the department and programs and procedures in the school division;
- Ensures the office presents a professional image to visitors and guests;
- Makes appointments and reserves meeting space for supervisor as requested;
- Assists in communicating with school coordinators or other staff regarding business partnerships within all 24 HCPS schools;
- Enters departmental expenses or uses of HCPS Purchasing Card in a timely manner;
- Assists in tracking funding and/or volunteer requests for related HEF or Business Partnership initiatives;
- Arranges, sets up for and takes minutes at all meetings for the Hanover Education Foundation Board of Directors (HEF);
- Prepares, updates and tracks printed or digital correspondence and applications for various teacher/staff grants throughout the year;
- Assists in coordinating annual student scholarships, working with donors, school counselors and others, to ensures a smooth process for applicants and transfers of awarded funds
- Prepares for, supports planning and tracks participation or funding for any HEF fundraisers or programs - including memorial funds, the Excellence in Education Gala, golf tournament, and others;
- Assembles information for and proofs HEF Annual Review, or similar documents;
- Uses bookkeeping software, creates and records any invoices, payments or deposits, and prepares records for monthly reconciliations for HEF;
- Maintains the Hanover Education Foundation website;
- Performs related work as required.
Qualifications: KSA's, Education KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of standard office practices, procedures, equipment and clerical techniques; ability to make arithmetic calculations; ability to file alphabetically; knowledge of business English and spelling; ability to establish and maintain effective working relationships; basic level proficiency in office-related equipment, including computer, copier, printer, multiple-line phone, projector, and scanner; ability to understand and follow oral and written instructions. Basic knowledge of commonly used concepts, practices, and procedures using technology. Ability to: assist guests in a professional, helpful, and courteous manner; work independently and prioritize work assignments with minimal supervision; read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals; establish and maintain cooperative and effective working relationships with others.
EDUCATION AND EXPERIENCERequired: Prior work experience in a professional office setting; Proven experience in Microsoft Word, Excel, and PowerPoint.
Preferred: Experience with bookkeeping software and Google Drive.
A comparable amount of training and experience may be substituted for the minimum qualifications.

Physical requirements and Disclaimer PHYSICAL CONDITIONS Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact. Physical capability to effectively use and operate various items of office-related equipment. Work is regularly performed in an office setting, with times throughout the year requiring travel to school sites within the division or meeting locations within the region.
