Administrative Assistant I Supports the
Student Services/Special Education Department, working directly with the
Director of Student Services to manage multiple expenditure accounts, departmental grant funding, and processing purchase orders. Responsibilities include maintaining and submitting accurate state and federal compliance reports, preparing departmental contracts and agreements for submission to the School Board Secretary, ensuring compliance with Paraprofessional Chapter 14, Homebound and Home Education requirements, as well as responding to subpoena and student record requests. This role requires strong organizational skills, attention to detail, and the ability to handle sensitive information while ensuring compliance with all regulatory requirements.

Terms of Employment: 260 days/ 12 months, 8 hours per day, fullt-ime with benefits

ESSENTIAL FUNCTIONS: 1. Provides Administrative support to the High School Principals/Central Office Administrators.
2. Performs complex and diverse building/District office related duties, including but not limited to telephone/e-mail, intercom message systems, mailing duties, administrative assistant duties, preparation/editing of correspondence/reports, scheduling, general filing, photocopying, maintaining records, and monthly reports.
3. Ensures equipment in work area is kept stocked with paper, ink, toner or similar items necessary to their daily use and maintained in working order, addresses minor malfunctions, places work orders and makes service calls as necessary when malfunctions cannot be handled in house. Controls and maintains inventory of office supplies and equipment.
4. Maintains confidentiality with all building/District office information, including building/District population information.
5. Processes incoming and outgoing mail including first class mail, packages, overnight express, bulk and priority mail.
6. Maintains and updates building/District files, whether maintained electronically or in hard copies, in accordance with standardized records management and security procedures for both classified and unclassified materials; retrieves filed documents and materials; and transfers and discards files in accordance with established business procedures and schedules.
7. Compiles building/District records.
8. Supports building/District office operations with greeting and assisting visitors, providing co-worker assistance and backup support for other secretaries when needed, facilitating building/District clerical needs, coordinating information needs for building/District, and maintaining supervisor's confidential information and appointment calendar.
9. Manages building/District software with information related to appropriate building/District office.
10. Uses computer/technology skills in performance of duties independently and with a high degree of accuracy, such as use of the Internet, accessing databases, spreadsheet design, desktop publishing and creation of forms. Updates skills to ensure ability to use technology and implement new practices and procedures as they are developed.
11. Serves as a major program resource person and liaison between schools, departments, the District office and other locations; disseminates timely and accurate information and directions to students, parents staff and visitors.
12. Assists with building/District event coordination to include scheduling transportation, confirming buses for events, communicating schedule changes, upcoming events and the calendar to appropriate groups.
13. Inputs, maintains, and updates a bulletin board and prepares and distributes various building/District reports.
14. Responsible for maintaining building/District inventory and distribution of supplies.
15. Maintains building/District awards inventory and records, prepares and distributes certificates and awards.
16. Assists with building/District office support activities to include: duplicating materials, collating materials, reproducing and directing correspondence, refining and changing grammar, punctuation and spelling when necessary, answering questions and handling requests for information, preparing reports and taking messages.
17. Assists with building/District budgetary items related to yearly purchasing, bids and awards.
18. As applicable, maintains and coordinates building payroll and employee attendance records for the school.
19. As applicable, checks in all building substitutes; makes arrangements for daily needs; prepares coverage for teachers and substitutes; orients new employees; and processes weekly teacher lesson plans.
QUALIFICATIONS: High School required
Prior satisfactory experience preferred
