JOB DESCRIPTION: The employee serves as an administrative support person for the Florida Department of Education. The critical function of this position is to serve as conference room coordinator for the Turlington building and assist with the handling of incoming phone calls for the Florida Department of Education. This position reports to the Bureau Chief of General Services and provides service to agency employees and customers.
DUTIES & RESPONSIBILITIES: (Note: The omission of specific job duties does not preclude management from assigning specific duties not listed herein if such duties are a logical assignment to the position.)
The Florida Department of Education (FDOE) has an open position that is responsible for executing the following functions:
- The employee, as the conference room coordinator, is expected to schedule and coordinate office meetings, assist with coordination and set-up procedures for the first- floor lobby, Café 325, and seventeenth floor conference rooms and meeting spaces. The employee produces daily and weekly conference room calendars.
- The employee manages the inventory and the maintenance of conference room furniture and audiovisual equipment.
- The employee will serve as one of the Bureau of General Services main line operators with handling the Florida Department of Education's incoming phone calls.
- The employee will ensure timely procurement of goods and services through My Florida Market Place, ensure goods and services are received, and payments are processed in a timely manner. Employee prepares correspondence and maintains office filing system and supplies. The employee will assist the bureau chief and other general services staff, and will provide administrative support for bureau functions
- The employee assists with receiving and entering work orders for the agency in the Department of Management Services online Customer Work Order System (Tririga). The employee is expected to enter all work orders within 30 minutes of receiving the request. The employee may also be required to follow-up on work orders personally entered to ensure requests have been completed.
- The employee will assist the property custodian for the bureau with the exception of the 17th-floor AV room and warehouse inventory. The employee will assist the inventory agent with inventory and assist in maintaining a list of all property items in the bureau. Reports will be provided to the appropriate management as required.
- Performs other duties as required. The employee will research and respond to special operational projects assigned by the bureau chief's office and property manager. Projects must be completed within established timeframes and accurately address the issue or concern of the requests.

MINIMUM QUALIFICATIONS: - Knowledge of administrative and office principles and practices.
- Ability to understand and apply applicable rules, regulations, policies, and procedures.
- Ability to use a personal computer.
- Working Knowledge of Windows XP and Microsoft Office 2003
- Ability to communicate effectively
- Ability to establish and maintain effective working relationships with others
PREFERRED QUALIFICATIONS: Experience with state systems such as MFMP/Ariba
