JOB DESCRIPTION:

This position acts as the assistant to the director of the property section and supports the property section's staff through a wide variety of administrative tasks. Performs office work directly related to the property section and general business operations which are complex in nature and are not limited to the following; reviewing and/or preparing correspondence, handling information requests, interpreting administrative and operating policies and procedures, recommending improvements in administrative procedures as needed, supporting the coordination of office moves and cubicle modifications projects, receiving supply store requests from customers, and supporting the property section training program for inventory custodians and custodian delegates. Assists Property manager, property director and inventory agents with processing and maintaining Vocational Rehabilitation property surplus paperwork and filing systems.

DUTIES & RESPONSIBILITIES:

The Florida Department of Education (FDOE) has an open position that is responsible for executing the following functions:
  • Assists the property manager, surplus property manager, and inventory agents with processing and maintaining Vocational Rehabilitation property surplus paperwork and filing systems.
  • Supporting the coordination of Vocational Rehabilitation office moves and cubicle modifications projects.
  • Receives supply store requests from Vocational Rehabilitation customers.
  • Supports the property section training program for Vocational Rehabilitation inventory custodians and custodian delegates.
  • Assist General Services in answering calls.
  • Schedule and coordinate office meetings, prepare correspondence, maintain office filing system and supplies, and prepare and disseminate materials in support of training and other activities.
  • Ensure timely procurement of goods and services through My Florida Market Place, the goods and services are received, and payments are processed in a timely manner.
  • The incumbent will assist the property director and other general services property section staff and will provide administrative support for bureau functions.

MINIMUM QUALIFICATIONS:
  • High School Diploma
  • A valid Florida Driver's License
PREFERRED QUALIFICATIONS:

Preferences will be given to:
  • Applicants who have both professional and educational experience.
  • Applicants who have direct experience working with Windows XP and Microsoft Office
  • Ability to use a personal computer.
  • Knowledge of administrative and office principles and practices.
  • Ability to understand and apply applicable rules, regulations, policies and procedures.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.
