Position Description: The Administrative Assistant I plays a key role in the university's enrollment process by managing the accurate entry and maintenance of applicant data within Slate and PeopleSoft systems. This position involves verifying and processing credentials such as transcripts, test scores, and recommendation letters, as well as assigning admit types, class levels, and residency classifications for undergraduate applicants. The person in this position ensures data accuracy through routine audits and clean-up. Additionally, the role supports registration readiness by managing service indicators and coordinating closely with applicants and staff. Success in this position requires strong attention to detail, initiative, and excellent interpersonal and communication skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES - Accurately enter application data and admissions actions, including decisions, restrictions, special conditions, and student group assignments, into Slate and PeopleSoft administrative systems.
- Evaluate the authenticity of academic credentials such as transcripts, test scores, and letters of recommendation, and input verified data into student records.
- Provide timely and professional communication with applicants and university staff regarding application status via phone, email, and in-person interactions.
- Conduct regular data audits and system clean-up to ensure data integrity and compliance with admissions policies.
- Review high school coursework and determine appropriate admit type and class level for all undergraduate applicants.
- Communicate with students regarding outstanding final transcripts, finalize transcript receipt, and remove service indicators to facilitate course registration.
- Accurately assign residency classification for undergraduate applicants in accordance with state residency guidelines.
- Demonstrate a high level of dependability, initiative, and strong interpersonal skills in all aspects of the role.
