SummaryEmployee in this position is responsible for providing clerical and administrative support to the Public Works/Road Departments.
Pay rate is targeted at the base amount listed, but may be hired within posted range dependent upon qualifications.
Job Duties- Perform clerical and administrative functions, such as typing, filing, assisting customers at the front counter, answering phones, and other general office/receptionist duties.
- Scheduling and processing reservations at Island County Parks.
- Distribute mail and deposits between department buildings.
- Responsible for providing accurate, professional assistance in processing permits including, but not limited to, access, utility, blanket utility, hold harmless, transportation concurrency, franchise, event, etc.
- Coordinate and setup professional development/training requests for Public Works staff members.
- Process safety meeting documentation provided by Road Shop Supervisors.
- Process claims for damages against the department.
- Prepare complaints submitted by private citizens and submit to appropriate Road Shop.
- Research data for Public Records Requests.
- Perform other duties as assigned.
Knowledge, Skills & Abilities- Valid Washington Drivers License.
- Ability to perform excellent customer service.
- Maintains a high standard for accuracy, completeness and efficiency in the preparation of reports.
- Ability to quickly grasp new techniques, deal with rapid changes in events, remain calm in stressful situations, relate to various personality styles in a calm, professional manner.
- Effectively communicates with others for purposes of gathering and relating information.
- Understands the need for maintaining confidentiality of sensitive information.
- Independent and self motivated to complete required deadlines while simultaneously completing other tasks.
- Familiarity with general office machines, word processing, computer programs such as spreadsheets.
- Ability to send and comprehend survey maps, short plats, zoning maps, wetland overlay and boundary line adjustments. Ability to analyze data shown on quarter section maps and legal descriptions.
Education, Experience & Certifications- High school diploma or equivalent, and as otherwise indicated.
- Prior experience in general office work and/or secretarial work is required.
- Ability to successfully complete various required training classes and obtain certificates necessary for functional skills performance, maintenance and improvement.
