Position Title: Administrative Assistant IDepartment: Health Services Counseling CenterReports to: Director of Counseling Bradley Health ServicesStatus: Non-ExemptAppointment: 37.5 hours per week academic year & 20 hours per week during the summerbreakPay Rate: $15/hourSUMMARY Responsible for a range of administrative duties to support operations of the Health Services Counseling Center and serves as initial point of contact for the Counseling Center, creating a welcoming environment where students, parents, faculty/staff and other visitors feel comfortable
CHARACTERISTIC DUTES AND RESPONSIBILITIES Provides administrative duties to manage daily operations of the office including:
- Open and close the center
- Maintains the appearance of waiting room
- Coordinates and receive telephone communications, correspondence and visitors
- Responds to requests for information and assistance
- Coordinates scheduling of appointments for counselors and psychiatrist using EMR (Electronic Medical Record)
- Sends appointment reminders to clients
- Manages flow of students in office and handles high volume of traffic in the waiting room while communicating sensitive information to clients and protecting clients' privacy
- Assists with processing electronic records, including integrating paper documents and referrals into EMR
- Maintains accurate database for clients including appointments, hospitalizations, mandated counseling referrals, community referrals and other data sets as needed
- Orders supplies
- Assists with maintaining accurate records for the budget
- Performs other related duties as assigned.

NOTE: This position does not work and does not receive compensation during fall and spring breaks.MINIMUM QUALIFICATIONS - Two years of office business experience
- Interact positively with faculty/staff, students and parents
- Work independently; exhibit sound, accurate judgment
- Set priorities and deal with periodic timetable changes
- Work with an EMR and create computerized reports
- Work with sensitive information and records
- Proficient in word processing, spreadsheet and database management applications
- Ability to converse effectively in written, telephone and personal communications
- Ability to work/interact with a variety of internal and external constituents
- Ability to show respect and sensitivity for diverse populations.
- Must be able to handle details and multi-step processes
MENTAL/PHYSICAL REQUIREMENTS Selected candidate must have the mental and physical capabilities to perform the essential functions of the position with or without reasonable accommodation. Work is performed in a normal office environment with little exposure to outdoor temperatures or dirt
or dust. Working conditions are moderately quiet.
