Primary Purpose:

Under moderate supervision, ensure efficient operation of school administrative office and provide clerical services for school's administrative staff.

Qualifications:

Education/Certification:

High school diploma or GED

Special Knowledge/Skills:
  • Proficient keyboarding and file maintenance skills
  • Ability to use software to develop spreadsheets, databases, and do word processing
  • Ability to maintain accurate and auditable records
  • Knowledge of basic accounting principles
  • Ability to follow verbal and written instructions
  • Ability to perform a variety of tasks often changing assignment on short notice
  • Effective organizational, communication, and interpersonal skills

Experience:

One year of clerical/secretarial experience

Major Responsibilities and Duties:

Records, Reports, and Correspondence
  1. Receive, sort, and distribute mail, messages, documents, and other deliveries.
  2. Collect and enter discipline attendance data into established database and verify accuracy according to prescribed procedures.
  3. Collect and enter parking violation information into established database, verify payment of fines, and deposit cash/checks.
  4. Prepare correspondence, forms, schedules, presentations, and/or reports, including attendance letters, as needed.
Reception and Phones
  1. Assist students, teachers, and parents as needed.
  2. Receive incoming calls, take reliable messages, and route to appropriate staff.
  3. Greet and direct visitors.
Other
  1. Prepare, order and distribute parking permits for staff and students.
  2. Coordinate after school detention and process supplemental payments.
  3. Maintain inventory of textbooks and calculators.
  4. Provide clerical assistance as needed including assisting with the scheduling of appointments.
  5. Compile, maintain, and file all reports, records, and other documents as required.
  6. Maintain confidentiality.
  7. Follow district safety protocols and emergency procedures.

Tools/Equipment Used: Multi-line phone system; standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: May work prolonged or irregular hours

Mental Demands: Work with frequent interruptions; maintain emotional control under stress
