Position Purpose:

The Administrative Assistant for the College of Health and Science supports the successful operation of the School of Health Science by providing quality administrative support to the dean, department chairs, faculty, and students.

Essential Job Functions:

1. Provides administrative support to the School of Health Science and School of Physical Sciences, Technology, and Math.
2. Prepares correspondence, reports and documents as requested.
3. Responds to phone inquiries; greets all who enter the office; and delivers service to customers in a way that reflects positively upon the departments and the University.
4. Maintains and tracks expenditures in the budget, and purchase orders for the departments.
5. Provides assistance for faculty searches.
6. Maintain course syllabi on shared drives.
7. Provides assistance to adjunct instructors with the acquisition of textbooks, keys, room reservations, desk copies, copies, etc.
8. Accesses student records and communicates electronically with students, staff and faculty.
9. Prepares and follows-up on work orders and coordinates campus services necessary for the effective operation of the programs.
10. Produces meeting minutes, where applicable.
11. Inputs textbooks each semester.
12. Initiates the faculty qualification process for all faculty in the college.
13. Communicates staffing to the registrar's office.
14. Initiates adjunct faculty contracts by supplying required information to the CAO's office.
15. Organizes and supervises student workers.
16. Performs general office duties, including copying, faxing, ordering office supplies, filing and distributing the mail.
17. Assists faculty and staff in gathering and organizing data from data sources.
18. Other duties as assigned to support the CHS faculty, staff, and students.
Essential Job Requirements:

Education:
  • Associate's Degree with 4 years of relevant experience required.
  • Bachelor's Degree with 2 years of relevant experience preferred
Experience:
  • MS Office skills required.
  • Previous office experience with proficient computer knowledge, including strong word processing skills, spreadsheet and database software abilities required.
  • Experience in a higher education preferred.
Skills:
  • Excellent communication and organizational skills and a customer service orientation.
  • Ability to handle confidential information.
  • Ability to interact with a diverse group of faculty, staff, students and parents and to develop strong working relationship with colleagues, staff, administrators, students and the general public.
Physical Requirements:
  • Ability to use a computer terminal.
  • Ability to move about campus.
  • Ability to interact via telephone, in person and via electronic media.
The pay range referenced in the job posting is the budgeted amount the university reasonably expects to pay for this position. The final pay rate will not be below the lowest pay rate listed herein.
