JOB SUMMARY:

The Administrative Assistant to Music and Worship Studies handles all routine and specially assigned tasks necessary to support the Program Coordinator for the Music and Worship Studies Program.

ESSENTIAL JOB FUNCTIONS:
  • Coordinate scheduling and logistics for departmental events, including recitals, concerts, juries, worship projects, tours, and visiting musicians.
  • Schedule classroom spaces and rehearsal facilities each semester; manage bookings via EMS and Cooke Hall calendars.
  • Submit class schedules, room requests, and reports to Academic Records.
  • Assist Applied Studies coordinators in scheduling and assigning students.
  • Support student advising by managing appointment scheduling and related communication.
  • Coordinate new student orientation, entrance examinations, voice/piano proficiency tracking, recital and worship project requirements, jury performances, and course rotation schedules.
  • Serve as liaison for chapel, dorm meetings, and special events (e.g., worship slide preparation, sound tech coordination, video needs with Event Productions).
  • Manage departmental publicity and promotions: design print projects (programs, posters, promotional materials) and oversee web, email (MailChimp), and social media communications.
  • Help maintain and update departmental websites (Boyce Worship Collective Squarespace site and Boyce Music and Worship WordPress site).
  • Communicate with prospective students regarding auditions, inquiries, campus visits, and general program information.
  • Assist with receipts, travel reimbursements, and expense reporting for recruiting visits, tours, and visiting artists.
  • Assist in hiring coordination for adjunct faculty (paperwork filing, onboarding communication).
  • Maintain and update departmental documents (program handbooks, instructor handbooks, accompanist handbooks).
  • Assist with the preparation and documentation for NASM (National Association of Schools of Music) accreditation and SACSCOC (Southern Association of Colleges and Schools Commission on Colleges) evaluations.
  • Support internal program reviews and coordinate response documentation with Academic Assessment Offices.
  • Assist with Canvas course administration for Music and Worship classes.
  • Assist in developing and maintaining online courses and materials for the department.
  • Collaborate with faculty and staff to support all ongoing initiatives.
  • Other duties as assigned by the Program Coordinator.

EDUCATION:

The person in this position should have a high school diploma. A college degree is preferable.

EXPERIENCE:

The person in this position should be proficient in Microsoft Word, Excel, ProPresenter, and EMS, have service or secretarial experience, be detail-oriented, organized, and able to multitask.

SUPERVISION:

The person in this position will supervise no one.

The person in this position will report to the Program Coordinator for the Music and Worship Studies Program.

WORK ENVIRONMENT:

The person in this position will work in a typical office environment. This person will work during traditional business hours. Exceptions will be approved by the supervisor.

EQUIPMENT:

The person in this position will use the following equipment: computer, printer, phone, fax, and copy machine.
