Job Description:


GENERAL STATEMENT OF DUTIES:

The part-time administrative assistant assists with immunization compliance, student outreach, and other tasks in the Health Center. Schedule is 10-18 hours/week from May-September and 8 hours/week in other months. Position is ideal for person with desire to work more in the summer and less during the academic year. Job-specific training will be provided.

EXAMPLES OF SPECIFIC DUTIES AND RESPONSIBILITIES:
  • Review and maintain student immunization compliance records for consistency with Framingham State University and Commonwealth of Massachusetts requirements.
  • Notify students of compliance requirements; respond to student inquiries concerning compliance status via email, telephone, and in person; explain compliance policy and requirements to students; resolve issues that may arise concerning student immunization status compliance.
  • Serve as liaison to faculty, staff, and others regarding procedures and expectations related to student immunization compliance.
  • Provide outreach at student orientations and student move-in days and participate in various other events to answer questions regarding student immunization status and requirements.
  • Student orientations and move in days fall outside of regular business hours, including early evenings and weekends. This position will include approximately 5 early evening sessions of 2-3 hours as well as 3 weekend sessions of 2-3 hours during the summer.
  • Additional job-related Health Center duties as assigned by the University or the Health Center Director.

WORKING CONDITIONS:
  • The position is primarily office-based, requiring the employee to work indoors.
  • The role involves prolonged periods of sitting at a desk, working on a computer, and potentially lifting and carrying light objects.
WORK HOURS:

May through September: 10-18 hours per week.

During the academic year, the position hours decrease to 8 hours per week with possibility for additional hours occasionally.

Infrequent early evening and weekend availability for pre-determined dates required.


Requirements:


MINIMUM QUALIFICATIONS:
  • Associate's degree or higher
  • 1-3 years work experience with administrative assistant functions
  • Experience with computer systems, including web-based and MS applications, including Outlook, Word, and Excel.
  • Effective verbal and written communication skills
  • Excellent customer service skills
  • Ability to maintain a positive and respectful demeanor in all interactions with colleagues and students
  • Meticulous focus on accuracy and confidentiality when handling data and records
  • Flexibility to handle changing situations and unexpected requests
  • Ability to work effectively independently and as part of a team
PREFERRED QUALIFICATIONS:
  • Experience with Electronic Medical records, Medicat platform experience
  • Work experience in a medical office, school, or college-based health center
  • Experience or familiarity with immunization compliance

Additional Information:


This is a part-time non-benefited, contract position, not to exceed 18 hours per week. The scheduled hours are flexible. The pay rate is $30-35/hour commensurate with experience.
