POSITION: Administrative Assistant for Communications & Marketing
(E.J. McClendon Center)
1.0 FTE, 7.5 hours per day
JOB SUMMARY: This position will work out of the district's Administration Building in Plymouth. The secretary will be supporting work in the Department of Communications and Marketing, as well as serving as the back-up receptionist for the E.J. McClendon Center. The receptionist is the first point of contact for people entering the building and must display a pleasant, professional, and welcoming personality.
MINIMUM QUALIFICATIONS: - Bachelor degree in public relations, journalism, communications and/or marketing preferred or demonstrated work experience.
- One to three years related work experience in public or private sector, school experience preferred.
- Experience with multi-line telephone system preferred.
- Ability to set, manage and coordinate multiple priorities.
- Experience working with scanning documents.
- Effective verbal and written communication skills.
- Strong writing and proofreading skills.
- Ability to maintain tact and diplomacy under stressful situations.
- Ability to learn and be proficient in serving as the district's FOIA Co-coordinator.
- Familiarity / ability to learn content management skills to update to the district's website.
- Interpersonal and judgmental skills necessary to work effectively with public, families, and staff.
- Experienced in general office procedures.
- Good organizational, problem solving, critical thinking and communication skills.
- Ability to take initiative, work independently and maintain confidentiality.
- Ability to work well under pressure with deadlines and frequent interruptions.
- Familiarity with general office machines: printer, copier, and postage machine.
- Experience with Microsoft Suite, Google Suite, Canva.
- Ability to produce basic video content for digital platforms (iMovie, Canva, Biteable).
- Good attendance record in prior position.
- Maintain proper business attire.
DUTIES AND RESPONSIBILITIES:
- Acts as the district's FOIA Co-coordinator.
- Assist in generating understanding of the goals and activities of the P-CCS Dynamic Plan by and among its stakeholders.
- Assist in measuring and interpreting the beliefs and expectations of the community to the District's Board of Education, administration and staff, and thereby enhance the communications and decisions making process.
- Assist in the development and publishing of District Website information and content.
- Assist with the planning and execution of special events.
- Assists in developing, preparing, and disseminating written and electronic documents.
- Assist in building positive, supportive relationships between P-CCS and internal / external public.
- Manage the District's Communication & Marketing email inbox. Answer questions where appropriate and forward messages to other departments to be answered.
- Act as point person for the community for the dissemination of fliers to the school community.
- Design fliers and other informational publications.
- Design and assist in writing various District newsletters, including several internal and external publications.
- Fluency to assist with social media content production (Facebook, Twitter, Instagram, YouTube).
- Assists in photographing and videoing District events.
- Proofread internal and external documents.
- Acts as a back-up receptionist for administration building.
- Answers district multilined telephone, assess situation, and direct calls to the proper department.
- Acts as resource person providing information to the public, parents, and staff.
- Provides a full expanse of customary secretarial support to the office of the Department of Communications and Marketing.
- Directs visitors to the building or proper departments.
- Coordinates usage of building conference rooms.
- Issues work permits.
- Bending, lifting and overhead work required.
- Performs other duties as directed by the Executive Director of Communications & Marketing.

RATE OF PAY: Level 6 $18.75 - $22.72/hour
BEGINNING DATE: ASAP after posting deadline and interviews
EVALUATION: Performance of this position will be evaluated annually in accordance with provisions of the Board's Policy on Evaluation of Classified Personnel.
