Job Summary: Wesley Financial Group is seeking a reliable and detail-oriented Administrative Assistant to support our Resolution, Developer Partnership, and Operations teams. This role is responsible for managing all incoming and outgoing mail processes, ensuring accurate documentation and smooth communication across departments.
Essential Duties and Responsibilities: - Sort and distribute inbound mail
- Accurately log inbound and outbound mail in Salesforce
- Monitor and fulfill outbound mail requests in a timely manner
- Generate postage and tracking details for outbound mail
- Track and log deliveries with precision
- Manage the Onboarding shared/group email inbox
- Monitor and distribute incoming faxes
- Scan and organize client timeshare documents
- Handle all documents with strict confidentiality
- Coordinate storage of mailed documents per company guidelines
- Maintain inventory of mailroom and administrative supplies
- Perform other administrative duties as assigned
Key Skills and Preferred Experience: - At least 1 year in a similar administrative or mailroom support role
- Proficient in Salesforce and Google Suite
- Strong time management and multitasking skills
- Excellent written and verbal communication
- Professional and positive demeanor
- Flexible and adaptable to shifting priorities
- Able to lift up to 25 lbs
- High attention to detail and strong organizational skills
- Dependable with a history of reliable attendance
