Position Summary:
The Administrative Assistant assists the department by handling general office tasks such as providing professional assistance via phone, in-person, mail, and e-mail. This person in this position may be responsible to collect and enters data, order office & department supplies, and will complete other various administrative tasks as needed.
Essential duties/responsibilities:
- Provide program information and other community resources to clients
- Assist low-income families and seniors in completing HEAT and/or Weatherization application; determine eligibility for residential assistance
- Recordkeeping, data entry, file archival, inbound phone calls, and reporting
- Coordination with other staff and external partners/community members, ensuring smooth communication and workflow
- General reception and administrative duties
- Provide support for department director
Required Qualifications:
- Excellent communication skills, both written and verbal
- Strong interpersonal skills and the ability to form relationships
- Excellent time management skills with a proven ability to meet deadlines
- High attention to detail and strong organizational skills
- Ability to work independently, problem-solve, and anticipate department needs
- Must be patient and flexible
- Accurate data entry skills
- Requires an ability to function between various databases
- Must be able to operate multi-line phone systems, standard office machines, and equipment
- Proficient in MS Office and Google Suite. Requires considerable knowledge of Google Workspace, Zoom and a willingness to learn new software applications
- High school diploma or equivalent
- Two years of administrative experience -OR-
- An equivalent year-for-year combination of related education and experience
