We are seeking a highly organized, detail-oriented Administrative Assistant to support daily operations and ensure the efficient functioning of our Safety Group within the Kapolei terminal. The ideal candidate is proactive, professional, and able to handle a variety of administrative and clerical tasks with accuracy and confidentiality.
Responsibilities:
  • Answer and direct phone calls, emails, and other correspondence
  • Schedule meetings, appointments, and manage calendars as needed
  • Prepare and edit documents, reports, and presentations
  • Ability to assist with word processing, document revision, re-creating policies, procedures, etc.
  • Maintain filing systems, both electronic and physical
  • Order and manage office supplies and inventory
  • Assist with data entry and database management
  • Ability to learn various database software systems (off the shelf platforms) and assist with system revisions.
  • Support bookkeeping and budget tracking as needed
  • Coordinate travel arrangements and logistics
  • Handle confidential information with discretion
  • Ability to manage manual tasks- locating instruments, etc. and creating an inventory list. Assisting with equipment calibration.
  • Dedicated administrative support for the Safety & Security Team.
  • Some travel within Oahu island can be requested occasionally as needed
Qualifications:
  • High school diploma or equivalent
  • Proven experience as an administrative assistant or in a related role
  • Proficient in Microsoft Office Suite (Word, Excel (spreadsheets), Outlook, PowerPoint)
  • Excellent written and verbal communication skills
  • Strong organizational and time management abilities
  • Ability to multitask and prioritize effectively
  • Ability to work independently with little direction
  • High level of professionalism and discretion
Preferred Skills:
  • Experience with office management systems
  • Advanced Excel & MS Office skills
