General Description of the PositionUnder the Dean's supervision, the person is responsible for the overall efficient and effective management of the Office of the Dean. This includes supervision of other office personnel, all College Administrative personnel, and the budget.
Essential Functions & Required Knowledge, Skills and AbilitiesEssential Functions The following are the functions essential to performing this job.
- Assist in developing and maintaining efficient office procedures.
- Execute duties and responsibilities assigned by the Dean, including investigating and resolution of routine problems.
- Access student information needed to resolve problems.
- Collect data; prepare rough and final drafts of reports; and gather and submit information for media press releases, newsletters and brochures.
- Assist in arranging travel, appointments and conferences for the Dean.
- Composition and/or editing of correspondence and reports.
- Meet and answer inquiries from students, faculty and staff.
- Execute secretarial duties.
- Resource person to staff, faculty and chairpersons regarding DSU policies.
- Supervision of staff in Dean's office.
- Oversees Budget - monitoring the College's budget. Examples of the type of budgets include office, equipment, supply, and project.
- Input departmental and grant requisitions.
- Oversee development and monitoring of departmental and grant budgets.
- Meet with Business and Finance as necessary regarding departmental budgets.
- Handle all paperwork and reports related to grants, granting agencies and requisitions for grants commitments for the college
- Perform all technical operations in support of budget formulation, budget execution, reporting and other requirements.
- Monitor the operational budgets for all departments under the COB assisting the Provost office in maintaining positive balances.
- Work with Business and Finance to post and reconcile outstanding requisitions and purchase orders.
- Assist in the annual review and submission process of proposed budgets from departments under the college.
- Assist in adjusting changes to payroll lines for faculty and staff.
- Ensure that there are adequate funds for programs, overseeing and administering all Foundation Accounts within the college.
- Other duties as assigned by Dean and/or Associate Dean.
Required Knowledge, Skills, and Abilities The individual in this job must possess these skills and abilities or be able to explain and demonstrate that they can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.
- Administrative ability.
- Must be experienced in all aspects of secretarial duties.
- Technical experience with Microsoft Suite (Word, Excel, PowerPoint, Publisher, Outlook) and Banner.
Other Functions Individuals in this job may be assigned one or more of the following tasks on a rotating or as-needed basis.
1.Staff Relations - assists the Dean in the review of staff issues and meets with staff members to enforce policies and procedures.
2.Project Management - meets with project managers and project staff and accurately documents project progression.
3.Community Involvement - works directly with members of the community to answer questions and to provide accurate information pertaining to organization in question.
4.Assist the Dean in the investigation and resolution of routine problems with the college.
Qualification Standards- Education: Bachelor's
- Successful experience: Five years in field of office management at a college or university.
- Other preferences: Possess degree in Business or related area.
