Administrative Assistant/ Administrative Coordinator- Bilingual Spanish
ESSENTIAL FUNCTIONS:
- Supports all staff in assigned project-based work for the designated division.
- Prepare, create, process and track invoices, ensuring proper coding and approval for submission.
- Prepare & package training/meetings/implementation materials for departmental events as needed.
- Makes travel arrangements including conference registrations, and lodging as required for the department.
- The Administrative Assistant/ Administrative Coordinator will also process orders for weekly advertisements and ensure proper execution of sales contracts in coordination with the team.
- Creates and modifies documents and spreadsheets using Microsoft Office & other tools.
- Maintains hard copies and electronic filing systems.
- Researches and obtains quotes for approval, and purchases supplies for the department.
- Process & inventory materials requested by staff.
- Responsible for set-up and coordination of departmental meetings, including minutes.
- Other administrative duties as assigned.
QUALIFICATIONS:
- Associates degree from an accredited college or university. Bachelor's degree preferred.
- Must have at least two years of experience.
- Excellent email communication and organization is a must.
- Experience with Microsoft Office, excel, including Teams and telephone protocol.
- Spanish and English language written and verbal proficiency
