Job Description:

The Office Administrator & Accounts Payable Clerk will play a key role in ensuring the smooth and efficient operation of the office while also overseeing the accounts payable functions. This position requires an individual with a strong organizational skill set, excellent communication abilities, and a solid understanding of accounting procedures.

Key Responsibilities:

  • Office Administration:
  • Manage office supplies and inventory, ensuring all necessary materials are stocked and available.
  • Coordinate office maintenance and liaise with vendors for building services.
  • Handle incoming calls, emails, and correspondence; manage scheduling and appointments.
  • Assist with general office management tasks, including filing, data entry, and record keeping.
  • Provide administrative support to various departments as needed.
  • Accounts Payable:
  • Process and track all incoming invoices, ensuring they are accurate and comply with company policies.
  • Coordinate with vendors to resolve any discrepancies or issues related to billing.
  • Record and maintain accurate accounts payable records.
  • Assist in monthly and year-end closing processes related to accounts payable.
  • Prepare and issue payment batches in a timely manner.

Requirements:

  • Proven experience as an office administrator, office assistant, or in a similar administrative role.
  • Prior experience with accounts payable or basic bookkeeping is preferred.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Familiarity with accounting software (e.g., QuickBooks, SAP, or similar) is a plus.
  • Excellent organizational skills, attention to detail, and the ability to multitask effectively.
  • Strong communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information with integrity.
  • High school diploma or equivalent required; additional certification or coursework in accounting or administration is a plus.
