Job Description

Western Nevada College is recruiting for an Administrative Assistant 4, for the Vice President's Office which will be responsible for providing administrative support to the Vice President's Office including Academic Planning, Accreditation, Curriculum Management, and Grants. This position will also be involved in the planning and execution of a variety of events and campus tours on the Campuses of Western Nevada College including contracts, logistics, budgets, and space utilization.

Duties and Responsibilities

The Administrative Assistant 4 will provide customer service, front-office coverage, and administrative support for the Vice President's office and Events. This position will continue to define procedures and logistics around campus events, room use, and tours while collaborating with the various departments required for each request.

Administrative Support - Including: Front desk support for the Vice President Suite (Academic Planning, Accreditation, Curriculum Management, and Grants), connecting inquiries with the correct department on campus, maintaining multiple calendars, updating website pages, collaborating with faculty and staff on available room locations, and utilizing the various campus computer programs and processes.

Scheduling logistics and procedures - Including: Collaborating with the community to plan event details, creating event proposals, understanding the internal billing and contract process, identifying Audio-Visual requirements, Facilities support, Custodial Services, Police Services, and additional supports for each event. Maintaining the space utilization for the college.

Campus Tours - Including: Creating a procedure for identifying key areas of the Western Nevada College each tour is interested in viewing, collaborating with the departments to ensure the appropriate individuals are available to showcase their areas, and navigating time management and expectations.

Required Qualifications
•  This position requires graduation from high school or equivalent education and four (4) years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR
•  One (1) year of experience as an Administrative Assistant III in Nevada State service; OR
•  An equivalent combination of education and experience as described above Preferred Qualifications
•  Bachelor's degree in Event Management, Hospitality, Marketing or other related field are encouraged to apply.

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.

Compensation Grade
Grade 29

In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate's qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
