Administrative Assistant 4

Job Focus Areas :

This Administrative Assistant 4 is located within the Division Nutrition Support and will report to the Director of the Division of Nutrition and Support. This position is required to perform duties independently and with discretions, and exercise a high degree of independent judgement and initiative in determining the action to take in non-routine situations.

Duties and responsibilities include, but are not limited to the following:

Responds to requests for information; may require interpretation of department rules and regulations. Independently composes and types correspondence involving complex, sensitive, and non-routine matters. Assesses importance of issues or conflicts, and briefs supervisor. Compiles and types special reports by selecting relevant information from a variety of sources such as reports, documents, correspondence, electronic files, etc. Prepares materials needed for meetings, such as agendas, handouts, binders, etc. May attend meetings and transcribe minutes. May type contracts, secure appropriate signatures, and track contracts through the approval process.

Preferred Qualifications:

Competence in Microsoft Office Suite, and other technology. Knowledge of state systems (Metastorm requisitions, LEO, timekeeping, Contract tracker experience.

Minimum Qualifications

MINIMUM QUALIFICATIONS:

Three years of experience or training in clerical work.

EXPERIENCE SUBSTITUTION:

Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.
