DutiesWe are looking for an experienced administrative professional who projects a positive attitude and encourages collaboration, always looking to meet and exceed expectations.
This position provides confidential direct administrative and secretarial support to the Assistant Director, Program Manager, four Regional Compliance Managers, and the Administrative Assistant 5.
You will assist our 20 District Compliance Managers and their staff with revocation hearings, evaluations, payment processing, ordering procedures and documentation, travel requests/regulations, retention schedules, frauds, and miscellaneous other issues affecting Field Offices and their employees directly.
Prioritization of daily workload, multi-tasking, use of independent judgment following agency policies and procedures and best practices to accomplish assignments and facilitate accurate and effective workflow up and down the chain of command is essential to success in this role.
This position may also provide other support services in an office that contributes to the smooth and effective operations of the Compliance Division.
The incumbent must be willing to work the hours of 8:00 a.m. to 5:00 p.m., Monday through Friday.
Qualifications We are looking for candidates with demonstrated knowledge of office procedures and practices; business management practices; research methods on data collections; communication and correspondence practices.
Candidates must also demonstrate the ability to work independently; read, understand, and interpret policies and procedures; develop written reports; work effectively with others; communicate effectively, both in writing and speech.
Minimum qualifications: High school graduation or equivalent,
AND three years of progressively responsible experience in office, secretarial, bookkeeping, accounting, or general administrative work.
Note: Formal education and/or training in office or secretarial occupations, bookkeeping or accounting will substitute year for year for experience
Candidates must also possess experience: - Navigating the Internet to find and download information for work-related use.
- Utilizing software, such as PowerPoint, to create, format, edit, and run presentations and slide shows.
- Utilizing spreadsheet software, such as Microsoft Excel, to create, modify, print, and format spreadsheets to respond to data requests.
- Utilizing word processing software, such as Microsoft Word, to create, format, and edit correspondence, reports, in response to agency and customer requests.
As well as the ability to type 50 words per minute.
This position functions within a fast-paced, complex environment within which interpersonal and self-management skills and communication are essential.
