GENERAL STATEMENT OF DUTIES:
Responsible for performing a wide variety of administrative, clerical, and artistic support duties for the Lone Tree Arts Center (LTAC). Coordinates office support functions in relation to the Arts Center's goals and objectives.

Artistic
• Serve as co-company manager for 2 to 3 theatrical productions annually. Work with out-of-state performers to arrange airfare, housing, and local transport. Answer general questions during rehearsals and performances.
• Assist the Executive Director and Business Manager with all theatrical auditions and callbacks.
• Assist the Business Manager with performer contract needs, such as check requests and other filings, and keep track of them.
• Assist the Events and Rentals Assistant with performer hospitality needs, including housing, local transport, and meals.
• Manage and coordinate the Manager on Duty schedule to ensure appropriate staff coverage for all LTAC performances.
Administrative
• Serve as the first point of contact at the Arts Center administrative office, greeting guests, vendors, and other visitors courteously and professionally.
• Maintain the annual attendance tracking worksheet, ensuring accurate and up-to-date records are kept for reporting and analysis purposes.
• Responsible for ensuring the Administrative Office is open between 8:00 am to 8:30 am daily.
• Handle all incoming calls, directing them to appropriate staff and/or providing informative answers to questions.
• Assist the Associate Executive Director for External Relations with the Lone Tree Arts Center Fund board meetings, administrative tasks, and fundraising efforts.
• Assist the Development team with the stewardship of donors and special events.
• Assist the Rentals team with pre-event client documentation and catering, with occasional support day-of rental events.
• Review and code job-related invoices and credit card receipts.
• Create and/or modify memos, meeting minutes, correspondence, and reports.
• Monitor and purchase all office supplies.
• Responsible for admin petty cash bank, issuing, and reconciliation.
• Manage all office equipment, including, but not limited to; copy machine, postage machine, and kitchen equipment (dishwasher, refrigerators, coffee machines, etc.).
• Responsible for receiving, opening, sorting, and distribution of mail and other deliveries - travel between LTAC and City offices will be necessary on a weekly basis to pick-up and deliver documents and mail.
• Assist all departments with projects as necessary.
• Responsible for managing LTAC van, including scheduling maintenance with fleet officers and track usage.
• Other duties as assigned.

Works under the direct supervision of the Business Manager.

QUALIFICATIONS:
- Requires a minimum of 2 years' experience in a professional Administrative Assistant role and/or a minimum of 2 years' experience with a professional performing arts organization.
- Candidates with experience in and a passion for the arts strongly preferred.
KNOWLEDGE, SKILLS & ABILITIES:
• Must have excellent Microsoft Office (Word, Excel, and PowerPoint) skills.
• Smartsheet experience a plus.
• The successful candidate will have a commitment to helping their neighbors with a passion for being involved in their community.
• A reasonable understanding of the accounting and budgeting process is required.
• Strong written and verbal communication skills with the ability to effectively communicate and interact with all levels of personnel, clientele, and visitors of the Lone Tree Arts Center.
• Working under pressure and meeting deadlines is essential.
• Must hold a valid driver's license. Ability to handle telephone calls and walk-ins in a courteous and professional manner with a variety of people and temperaments in potentially stressful/high-volume situations.
