Description We are seeking a skilled and proactive Administrative Analyst to support the Community Development Department with a wide range of
complex administrative, clerical, and project-related duties. This position is responsible for compiling and monitoring the department budget, coordinating Board and Commission activities, and managing detailed and often confidential projects, including personnel matters. The ideal candidate will also serve as a
knowledgeable point of contact for the public, offering information and guidance on departmental policies and procedures.
Essential Job DutiesWhat You'll Do in This Role: - Train, assign, and coordinate the work of clerical staff to ensure compliance with department policies and procedures.
- Assist with preparing the department budget and monitor spending, including processing invoices, purchase requisitions, and purchase orders; oversee the Community Development and Engineering cash register process.
- Oversee the Community Development department's Colorado Open Records Act (CORA) requests.
- Attend Boards and Commission meetings; prepare agenda packets and meeting minutes.
- Prepare, proofread, and process a wide range of documents, including correspondence, reports, meeting agendas, and minutes; prepare and distribute press releases, legal notices, property postings, neighbor notices, and related documents to ensure legal compliance.
- Handle confidential personnel records and verify information for accuracy and completeness.
- Manage the department calendar, schedule meetings and events, and coordinate with other departments, agencies, and the public.
- Provide front desk and phone support, assist with applications and payments, and respond to inquiries, including those routed from the City website.
- Operate office equipment and manage data entry, electronic files, and document storage; maintain and update both digital and physical filing systems.
- Prepare and submit monthly reports and statistical summaries on department activities.
- Support department functions and complete special projects as assigned.
- Sort and distribute mail; respond to routine correspondence.
Minimum QualificationsYou Have: - An associate degree in business administration, human resources, computer science or related field, plus three years of increasingly responsible clerical and/or administrative work-or an equivalent combination of education, training, and experience demonstrating the necessary knowledge, skills, and abilities.
- Knowledge of how a department runs day-to-day, including budgeting and administrative processes, and the ability to track and manage financial documents.
- Strong communication skills, both written and verbal - you know how to create clear reports and correspondence, and how to explain policies and procedures in a way people understand.
- Good judgment and organization, with the ability to handle confidential tasks, solve problems on your own, and keep multiple priorities moving forward.
The ability to lead and support others, work well with different teams, and build positive relationships with coworkers, partner agencies, and the public.
