Education - Bachelor's degree required; strong customer service skills preferred.
Experience / Qualifications - Preferred 4 years experience as Administrative Coordinator in a non-profit environment, healthcare environment a plus.
Position Summary The Administrative & Advancement Services Coordinator reports to the Senior Director of Data Analytics and Prospect Development, works directly with the Foundation Development team and performs a broad range of responsibilities supporting fundraising activities and operations.
- Responsible for answering main Foundation phone line and directing calls appropriately.
- Update main line voicemail message to reflect office closing.
- Responsible for greeting guests.
- Assist Foundation Staff in preparing conference rooms for meetings.
- Coordinate office main in and mail out
- Be proficient in Raiser's Edge and RENXT to enter gifts from annual appeals and various events error-free and with consistency.
- Knowledge of biographical data entry and address standards and can assist with database maintenance and integrity.
- Prepare and mail appropriate correspondence and thank you letters.
- Update and maintain donor society levels in Raiser's Edge and the STAR databases.
- Process honor/memorial gifts prepare thank you letters and donor acknowledgement cards.
- Process donor membership cards ensuring donor level is appropriate and accurate.
- Scan gift backup documentation into donor records.
- Proficient in MS Word, Excel and PowerPoint.
- Keen attention to detail, professional writing style, consistency and ability to produce error-free communications.
- Prioritize and manage multiple tasks and deliver accurate and precise results under tight deadlines.
- Must have detail-oriented focus and the ability to work well both individually and as part of a team.

Physical Requirements Requires sitting for long periods of time, also stooping, bending, standing, and stretching. Must have manual dexterity for typing and computer data entry. Able to work under a stressful environment, work independently, capable of making sound decisions, be detail oriented, alert, and self-motivated. Ability to push/pull up to 40lbs., carry and lift up to 20lbs.
