Overview We are seeking a detail-oriented and proactive Administrative Secretary to support the operations of our Cardiac Catheterization Lab. This role is pivotal in ensuring seamless administrative processes, allowing our clinical team to focus on delivering exceptional patient care.
ResponsibilitiesScheduling & Coordination - Schedule and pre-register inpatient and outpatient diagnostic studies for the Cardiac and Vascular departments.
- Coordinate studies with multiple departments to ensure efficient workflow.
- Reschedule patients as needed, maintaining clear communication with all parties involved.
- Post daily worksheets/schedules to keep the team informed of upcoming procedures.
Administrative Support - Complete all requirements for medical necessity and ensure appropriate insurance verification.
- Receive input data from designated sources and accurately enter or verify all required data into the computer system using data entry equipment according to established formats.
- Operate the computer system in accordance with operating instructions, schedules, and standard procedures to process data and produce computerized reports and other specified outputs.
- Maintain confidentiality of user department information and patient data at all times.
- Maintain department records, reports, logs, and files as required.
- Schedule and coordinate special meetings, including arranging catering requests and room availability.
Patient Interaction: - Interview patients or their representatives in person or through the pre-registration process to obtain demographic and insurance information necessary for medical record identification and billing.
- Input patient registration information into computer applications and verify the accuracy of data entered.
- Check medical necessity prior to scheduling patients to ensure compliance and proper billing.
Inventory & Coding Support: - Assist the Cath Lab Inventory Specialist by obtaining and ensuring the accuracy and updates of Charge Description Master (CDM) and Current Procedural Terminology (CPT) numbers and codes.
- Assist with obtaining CDM/CPT codes for the Cardiovascular service line.
Qualifications- Minimum of 2 years of administrative experience in a healthcare setting, preferably in cardiology or a cath lab environment.
- Ability to maintain confidentiality
- Excellent organizational, communication, and interpersonal skills.
- Ability to deal with the public in a positive and professional manner
- Ability to multitask and prioritize in a high-pressure environment.
- Knowledge of medical terminology related to cardiology is an asset.
- Minimum typing skills of 50 words per minute.
