Job Summary
Under general supervision, and according to established policies and procedures performs a variety of administrative, secretarial and clerical duties for a department.
1. Incumbent sets priorities and procedures for accomplishing work according to general instructions. Position typically reports to a department director.
2. Creates and prepares a variety of specialized reports using various database or spreadsheet programs. Compiles data from a variety of sources and verifies data for accuracy. Performs various mathematical standard office equipment for area.
3. Maintains various confidential reports; prepares departmental payroll; and maintains standard office equipment for area.
4. Screens calls and responds to a wide variety of questions. Regularly gathers or provides information to other administrative, maintenance, or clerical employees and/or outside vendors, customers or public.
5. Maintains departmental calendar and schedules tentative appointments. Responsible for scheduling group meetings and routinely makes travel arrangements for staff.
6. Responsible for opening, sorting and distributing mail. Reads mail to highlight important items or attach relevant information prior to passing on to appropriate staff.
7. Maintains standard office and related departmental supplies. Prepares purchase orders and obtains necessary signatures for processing. May monitor departmental supply budget.
8. Creates and maintains departmental filing system to ensure smooth retrieval of information.
9. Follows established policies and procedures to meet minimum life safety standards of JCAHO/OSHA. Actively participates in all safety training.

Qualifications:
1. High school diploma or equivalent. Some secretarial coursework, or college level coursework preferred.
2. Two to three years of secretarial experience required
