Administrative Coordinator to support the daily operations of our growing
Psychological Services Department. This role is essential in ensuring clinical and operational workflows run efficiently and in alignment with our mission. You will work closely with psychologists, psychometrists, licensed mental health counselors, graduate student interns, and administrative teams to support smooth day-to-day operations and help execute program goals.
This is a dynamic and fast-paced role that requires exceptional organizational skills, emotional intelligence, and the ability to communicate with professionalism, care, and clarity. The ideal candidate is someone who is well-organized, takes initiative, and brings a strong sense of ownership and excellence to their work,
all while centering the needs of our clients, families, and team members.Please note: This position may occasionally require assistance with Spanish interpretation for families and team members. Spanish-speaking skills are a strong plus, but not required.Key Responsibilities - Serve as the primary administrative liaison for the psychology team, supporting scheduling, documentation, referrals, and communication workflows.
- Collaborate with the Clinical Psychologist and CEO on program development, implementation, and tracking progress on key initiatives.
- Coordinate onboarding and scheduling for psychology interns and student trainees.
- Support clinical documentation management and compliance tracking within our EMR system (Central Reach).
- Monitor and streamline operational processes to ensure timely communication and service delivery.
- Provide administrative support for clinical meetings, trainings, and interdisciplinary collaborations.
- Communicate professionally and compassionately with clients and families regarding scheduling, forms, and general inquiries.
- Assist with occasional Spanish interpretation for clients and families, if applicable.
- Troubleshoot and resolve day-to-day issues, escalating concerns when needed while maintaining a client-centered approach.
Qualifications - Minimum of 2 years of experience in a high-paced administrative or clinical support role, preferably within a behavioral health or pediatric therapy setting.
- Spanish-speaking skills are a plus, especially for supporting bilingual client needs.
- Strong written and verbal communication skills.
- Demonstrated ability to manage multiple priorities with a high level of attention to detail.
- Emotionally intelligent, with a team-first mindset and a solution-oriented approach.
- Comfortable navigating confidential information and maintaining discretion.
- Proficient in electronic records systems (EMR), G Suite, and Microsoft Office tools.
- A bachelor's degree in psychology, healthcare administration, or a related field is preferred, NOT required
