Job Summary Uses skills as a seasoned and experienced administrative operations professional to manage, plan and administer the operations of a small to mid-sized academic or non-academic department or organizational unit with limited scope. May report to a chair, director, or a higher level administrative operations professional or manager. Perform short- and long-term planning for the organization. May supervise staff or students. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.
The Administrative Officer 3 will provide a high level of administrative and analytical support in hospital administration. The individual will play a significant role in administering facilities/logistics requests for staff. The incumbent will perform administrative services and oversee the general operations of the department.
Must have analytical skills to effectively manage the complexities to an increased office workflow. The incumbent must be able to work independently, exercise her/his own judgement to resolve administrative operational issues, and execute special projects assigned to her/him.
The incumbent will have a professional demeanor while interacting with faculty, staff, campus, vendors and community representatives.
- Must be able to practice confidentiality related to sensitive materials/meetings/union negotiation proposals and outcomes
- Manage calendaring and aggressively manage meeting scheduled.
- This requires the ability to move meetings and prioritize timing, notify upcoming meetings with VPs, etc.
- Schedule recurring meetings for Physician & Community Services teams
- Send out contracts for signature and manage contract warehousing which involves:
- Save contracts in folder system
- Save contracts in Symplr system
- Working with stakeholders to obtain contracts in a timely manner
- Format PowerPoint presentations
- Help organize documents as needed
- Ability to take meetings notes and help document key deliverables
- Ability to manage multiple competing projects/priorities
- Must utilize analytical and critical thinking skills to discern level of confidentiality and importance of meeting schedule timelines.
- Must have skills to staff and support confidential meetings such as search committee proceedings, union negotiations and other highly sensitive topics related to the organization.
- Must follow a matrixed set of policy and procedures that spans different organizational entities.
- Must have facility with acquiring organizational knowledge.
The final salary and offer components are subject to additional approvals based on UC policy.
Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.
The salary range for this position is $86,500 - $129,700 (Annual Rate).

Required Qualifications • Bachelor's degree in related area and / or equivalent experience / training.
• Min 3 years related experience.
• Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
• Demonstrated professional skills including advanced writing, independent problem solving, superior organization and time management skills
• Prior experience organizing meetings, including travel arrangements, logistics and expense reimbursement
• Prior experience with writing memoranda, correspondence, reports and producing written documents with clearly organized thoughts utilizing the appropriate grammar, sentence construction and punctuation
• Highly proficient in working with advanced MS Word, Excel, PowerPoint, Photoshop, Smartsheet, Zoom etc. Ability to develop word documents, reports, spreadsheets, and draft correspondence.
• Ability to follow through and complete verbal and written protocols and or directions
• Ability to maintain confidentiality
• Ability to manage multiple projects simultaneously, meet competing deadlines, be resourceful and work independently with minimal supervision, but also participate effectively as part of a collaborative team
• Ability to use sound judgment in responding to issues and concerns
Preferred Qualifications • Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.
• Proven ability and experience with interacting and communicating with senior-level administrators, faculty, residents and patients with tact, diplomacy and discretion
• Demonstrated proven experience in providing high level of executive support requiring confidentiality, discretion and good judgment
• Ability to analyze and interpret data regarding business operations and provide recommendations for efficiency, and budgetary
• Working knowledge of common organization-specific and other computer application programs
• Demonstrated ability to effectively work with individuals at all levels; ability to demonstrate a high degree of confidentiality and discretion, and demonstrate flexibility with the ability to work with diverse personalities
• Ability to adapt and apply UCSF's organizational policies and procedures to all situations.
• Ability to implement protocols according to the anticipated workflow.
• Ability to effectively manage the complexities to an increased office workflow. Ability to work independently, exercise judgement to resolve administrative operational issues and execute special projects.
