While you help us advance the mission, we'll help advance your career. HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT: The AA will be part of a two person administrative team
One located at HQ and one located in Chantilly
Ability to execute a variety of routine to complex administrative functions, lead related planning and activities, and prioritize tasks and workflow
Experience in office administration and calendar management with an ability to adapt to and manage changing work requirements, priorities, and ambiguous actions/taskings
Excellent oral and written communications skills with an ability to compose and deliver responses to customers' questions in a clear and concise manner
Ability to prepare clearly written text for memos, emails, etc. with minimal editing
Excellent customer service and ability to anticipate and address sponsor requirements
Excellent planning and organization skills for systematically coordinating, tracking, and maintaining accurate records and file/data management
Strong interpersonal skills to successfully interact with a diverse workforce population and with all levels of Sponsor Organization, Sponsor Community, and OGAs
The AA will use the following IT systems - Outlook, Basic Microsoft Office Suite and Windows file structure, SharePoint, Sponsor Access Request System and other Sponsor IT administrative services
It is highly desired that the AA has prior experience as a Sponsor Timesheet administrator and demonstrated knowledge of the Sponsor Timekeeping system
Experience arranging Sponsor TDY travel via the Sponsor Travel System
Experience with other Sponsor administrative systems such as - Sponsor Supply system, Sponsor Reimbursement System, Sponsor Internal Communication System, Product & Services Catalog, etc.
The AA will manage new employee check-in requirements to include scheduling appointments and facilitating the setup of new user accounts and requisite accesses
Serve as a primary administrator for all timesheet requirements
Manage email aliases for the Department and assist in data management on the share drive
Prepare and maintain Department level documentation to include organizational charts, phone trees, and contact lists
Passing clearances and coordinating visitor requests with external partners
The AA will support ad hoc administrative tasks that may arise, such as admin tasks for VIP visits/briefings, promotion and/or retirement ceremonies, and other Department-wide activities. Provide support to Chief of Staff on corporate and Department level efforts
The AA will maintain the Department's Chief/Deputy Chief and FO leadership calendars with an ability to schedule and adjust appointments to accommodate changing priorities and mission requirements while aligning meeting requests against importance levels based on the office's priorities, policies, and mission WHAT YOU'LL NEED TO SUCCEED: The position requires an active Top Secret/SCI with Polygraph security clearance
The position requires High School Diploma and three (3) years of relevant experience or equivalent combination of education and experience
Arrival/Departure time: 7 am to 3 pm, 8 am to 4 pm, or 9 am to 5 pm
Candidate must be able to operate in a team environment as well as successfully work on their own
