Job Overview:


We are looking for an energetic and experienced Billing Specialist to join our finance team. We process

high volumes of transactions and remittances, invoicing, and reconciling items. As part of our team, you will be responsible for managing and processing cash settlements accurately and timely in the banking system and accounting system. Besides the payment application work, this role includes completing various reconciliations, communicating with customers, following up billing/payment issues and financial analysis relating to billing activities.

This role is essential for ensuring the accuracy and efficiency of the accounts receivable department and it is crucial for maintaining the financial health of our organization by ensuring timely and accurate cash application.


Key Responsibilities:


  • Processing Payments: Accurately process and post customer payments, including cash, checks, and credit card transactions.
  • Payment Verification: Ensure payments and adjustments comply with specific contractual terms and oversee any discrepancies.
  • Reconciliation: Perform daily and monthly reconciliations of cash receipts and accounts receivable.
  • Resolving Discrepancies: Timely identify and resolve payment discrepancies and customer billing issues.
  • Accounts Receivable Management: Assist with the full cycle of accounts receivable including invoices, collections, and reconciliation, as necessary.
  • Collections: Collaborate with the AR team on collections on past-due accounts and work with customers to resolve payment disputes.
  • Record Maintenance: Maintain and update customer files, including changes in name, address, and other relevant information.
  • Reporting: Prepare regular financial reports related to cash application and reconciliation activities.
  • Month-End Closing: Participate in the month-end closing process and reconcile accounts as required.
  • Customer Interaction: Manage customers' statements on a daily basis. Assist clients and internal staff with inquiries related to accounts receivable and cash application.
  • Compliance: Ensure all accounting activities comply with US Generally Accepted Accounting Principles (GAAP) and company policies.

Qualifications:


A successful candidate must demonstrate appropriate knowledge, skills, and abilities for this role.

  • Education: Role at this level typically requires an associate degree or higher in Accounting, Finance, or a related field.
  • Experience: 3+ years in related previous experience in billing processing or accounts receivable roles to accomplish primary duties.
  • Skills:
  • Knowledgeable in account reconciliation and applications processes. Ability to manage and reconcile large volumes of transactions accurately. Ability to manage multiple tasks and prioritize effectively.
  • Ability to analyze financial data and identify discrepancies, strong numerical aptitude, attention to detail and excellent problem-solving skills. Must have solid data entry skills and ability to work independently.
  • Strong verbal and written communication skills for interacting with clients and team members.
  • Proficiency in major accounting software. Experience with Microsoft Dynamics 365 preferred. Basic to intermediate proficiency in MS Office, especially Excel.
