Accounts Payable Manager


Job Description:

As an Accounts Payable (AP) Manager, you will play a crucial role in the accounting team, overseeing and supporting two accounts payable specialists. You will be responsible for managing day-to-day operations, ensuring accuracy in AP entries, and maintaining the newly integrated third-party AP automation platform. Your role will involve independent operational decision-making and building trusted relationships with clients and vendors to drive improvements.


Key Responsibilities:

  • Supervisory: Oversight and support of two accounts payable specialists. Review of accounts payable entries for accuracy. Ensure timely entry of cash transactions into the ERP system. Facilitate the review and approval process for payables. Maintenance and oversight of the AP automation platform.
  • Reporting: Daily cash requirements reporting. Weekly projected cash disbursements. Accounts payable status reports.
  • Tactical: Coverage for team members in their absence. Entering and coding vendor bills into the AP system. Cash transaction entry and reconciliations in the ERP system. Correspondence with vendors. Credit card reconciliation. Escalation points for vendor disputes and reconciliations. Assist in preparing monthly billing files for clients.
  • General: Maintain a positive and collaborative atmosphere. Demonstrate versatility, flexibility, and a willingness to work within a constantly changing environment. Other duties as assigned by the Chief Financial Officer.

Measurable Competencies:

  • Skilled in Microsoft Office (Mid-level to Advanced Excel Skills) and Google platforms.
  • Mastery of Netsuite or similar operating systems.
  • Strong attention to detail and problem-solving skills.
  • Strong communication and time management skills.
  • Excellent written skills to convey complex messaging to various audiences.
  • Ability to hold yourself and your team accountable.
  • Energy and positive attitude to work in a fast-paced, hands-on role.

Requirements:

  • Team supervisory experience with 3+ years of managing teams.
  • Bachelor's degree in finance, accounting, or a related field.
  • Guiding team members and managing team members of at least 2 individuals
  • Flexibility to handle service division and traditional import distribution model
  • Wholesale, consumer goods, Distribution experience needed
  • Knowledge of freight costs, standard operating costs (rent) multi currency AP , goods service,
  • International Payments-Understanding of foreign settlements and FX Payments, booking contracts and dealing with pass thru payment
  • Systems Savy a must, Excel, and AP automation knowledge

Work Schedule:

  • In-office on Mondays and Wednesdays.
  • Every other week is a 4-day work week.
  • Hours: 9:30 am to 6:00 pm.

Location:

  • New York, NY

Salary:

  • $80,000 to $120,000 per year.
