Accounts Payable & Administrative Assistant

A well-established and growing organization in Miami is seeking a detail-oriented and proactive professional to support both financial operations and general office administration. This hybrid role combines responsibilities in accounts payable with administrative support to ensure smooth daily operations and timely vendor management.
Key Responsibilities:
Accounts Payable:
- Process and verify incoming invoices for accuracy and compliance
- Enter invoices into the accounting system and maintain vendor records
- Prepare and issue payments to vendors on schedule
- Reconcile vendor statements and resolve discrepancies
- Support monthly closings and audit requests
- Handle expense reports and petty cash as needed
Administrative Support:
- Manage calendars, appointments, meetings, and travel arrangements
- Handle phone calls, messages, and correspondence with professionalism
- Maintain organized filing systems (electronic and physical)
- Assist with data entry, reporting, and preparation of presentations
- Greet visitors and assist with office-related needs
- Support general communication and coordination across the team
Qualifications:
- Must be proficient in Yardi and Microsoft Office
- 2+ years of experience in accounts payable
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Dependable, discreet, and detail-oriented
