We are currently seeking a dynamic and detail-oriented Payroll Coordinator to join our team. This role is crucial to the smooth operation of our engineering firm, ensuring all employees are paid accurately and on time. The successful candidate will have a strong background in payroll administration, with a keen eye for detail and a commitment to meticulous accuracy. This is a permanent position offering the opportunity to play a vital role in our company's financial operations.

Responsibilities:

  • Process bi-weekly payroll, ensuring all employees are paid accurately and on time.
  • Maintain payroll information by collecting, calculating, and entering data into the system.
  • Update payroll records by entering changes in exemptions, garnishments, deductions, job titles, and departmental transfers.
  • Facilitate payments to company benefit plans, ensuring all deductions are correct and timely.
  • Process submissions of 401k and FSA contributions into plan accounts.
  • Handle open enrollment changes of employee benefit plans with insurance carriers and 3rd party administrators.
  • Assist with the year-end 401k audit process, ensuring all data is accurate and compliant.
  • Conduct an annual review of W2's and quarterly filings.
  • Administer and track aspects of worker's compensation injury reporting.
  • Submit the OSHA 300 log in a timely and accurate manner.
  • Identify and drive payroll initiative projects, seeking ways to improve efficiency and accuracy.
  • Ensure compliance with companywide policy, as well as local, state, and federal laws.

Qualifications:

  • A minimum of 2 years of experience in payroll administration, preferably within the engineering industry.
  • Strong knowledge of payroll processing, including tax regulations, deductions, and garnishments.
  • Experience with 401k and FSA contributions, as well as open enrollment changes.
  • Familiarity with worker's compensation injury reporting and OSHA 300 log submissions.
  • Proven ability to identify and drive payroll initiatives.
  • Excellent attention to detail and a commitment to accuracy.
  • Strong organizational skills, with the ability to manage multiple tasks and meet deadlines.
  • Good knowledge of local, state, and federal laws relating to payroll.
  • Proficient in using payroll software and systems.
  • Excellent communication skills, both written and verbal.
