SUMMARY
The University of Silicon Valley is seeking a highly organized and adaptable Academic and Operations Administrator to provide essential support across academic and operational functions. This role is responsible for assisting departmental Deans with administrative coordination, supporting faculty engagement and course management tasks, and contributing to compliance and operational processes that ensure institutional effectiveness. The ideal candidate is detail-oriented, a strong communicator, and capable of managing multiple priorities with efficiency and accuracy.
DUTIES AND RESPONSIBILITIES
Academic Administration Support- Provide day-to-day administrative support to academic Deans, including scheduling, document preparation, and internal communication.
- Coordinate and follow up on faculty communication, including reminders, responses, and support tasks.
- Assist in auditing course shells for instructional design and content completeness; follow up with faculty and instructional design to ensure quality and compliance.
- Support training coordination for faculty on tools, systems, and instructional design best practices.
- Assist with the tracking of academic calendar tasks, reporting deadlines, and faculty deliverables.
Operational & Compliance Coordination- Support compliance-related documentation and administrative coordination (e.g., curriculum updates, accreditation support, assessment data collection, IPEDS, regulatory items).
- Assist with State Authorization management: collecting documentation, tracking state requirements, and following up on submissions and renewals.
- Coordinate institution's operations tasks as requested, including data entry, policy implementation support, and documentation control.
Cross-Functional Collaboration- Act as a liaison between academic departments, instructional design, student services, and operations teams.
- Communicate clearly and professionally with internal stakeholders to ensure smooth workflows and timely task completion.
- Escalate issues appropriately and seek clarification or support when needed to ensure project accuracy.
Qualifications
- Some college coursework.
- Prior administrative or academic support experience required.
- Strong organizational skills with the ability to manage multiple deadlines and pivot between tasks quickly.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office, Google Workspace, and comfort with learning academic systems (e.g., LMS platforms like Canvas).
- Ability to work independently and collaboratively in a fast-paced environment.
- High attention to detail and commitment to completing tasks with accuracy.
