The Volunteer Assistant will be responsible for support of the daily operations of the Volunteer Services team, compiling data and keeping volunteer personnel records accurate and current. This role will support the Regional Volunteer Coordinators and Manager of Volunteer Services. Essential Job Functions/Responsibilities Assist volunteer program to ensure compliance with agency policy and procedure. Meets Medicare and NHPCOs standards for compliance and agency goals Maintains confidentiality of all volunteer information and files Answer incoming calls for Volunteer Services, referring call accordingly Help manage the Volunteer Services email inbox Support team with pre-employment and onboarding of new volunteers Email 30 Day & 90 Day Surveys to new Volunteers, track data and report to Volunteer Services for trends Send out monthly reminders for supervisory notes, annual performance reviews, skills checklists, and any renewable qualification reminders Provide support to Virtual Volunteers with any administrative needs Ensures volunteer personnel files are maintained and current on all volunteers Upload all volunteer clinical documentation to HCHB and verify hours Support the Regional Volunteer Coordinators as needed with daily operations Participate in the recognition and celebration of volunteers to grow retention and volunteer engagement Provides information to individuals and community groups about hospice volunteer services All other duties assigned by Manager of Volunteer Services The above statements are only meant to be a representative summary of the major duties and responsibilities performed by incumbents of this job. Qualifications Associates degree or equivalent experience Minimum of one (1) year - experience in a healthcare setting. Hospice and/or volunteer experience preferred. Experience in recruitment and onboarding a plus Ability to support, coordinate, and process daily activities for volunteer services Must be able to travel to branch location(s) to meet in-person with volunteers as needed Demonstrated ability to work well as a team Strong interpersonal and communication skills Ability to multitask, handle interruptions, and manage projects independently Understands hospice philosophy
