Travel Coordinator

We are seeking a detail-oriented and highly organized individual to join our team at Great West Casualty as a Travel Coordinator. In this role you will be responsible for coordinating all aspects of business travel for our employees, both commercial and corporate travel. You will work closely with our aviation team to ensure smooth and efficient travel for our employees but also various executives from our parent company. This role requires excellent communication skills, strong attention to detail, and the ability to multitask efficiently.

Key Responsibilities in this role:

Coordinate all commercial and corporate business travel arrangements for company employees, including flights, accommodations, transportation and appropriate reservations.
Research and book cost-effective travel options while considering employee preferences and company travel policies.
Communicate travel itineraries and updates to employees, providing necessary documentation and assistance as needed.
Serve as the main point of contact for employees regarding travel inquiries, changes, or emergencies.
Maintain accurate records of travel expenses and reconcile travel invoices in a timely manner.
Collaborate with other departments, such as Human Resources and Finance, to ensure compliance with company travel policies and procedures.
Develop and maintain relationships with travel vendors (commercial air, hotel and car rental) and negotiate contracts to ensure favorable terms for the company.
Serve as receptionist for company hangar when guests arrive and support Aviation Manager as needed.

Requirements:

Minimum 6 years clerical office experience, previous experience as a travel agent or equivalent preferred.
Excellent communication and interpersonal skills, with the ability to interact professionally with employees at all levels.
Exceptional organizational and time management abilities, with a keen eye for detail.
Ability to work independently and prioritize tasks effectively in a busy work environment.

This position has the option of hybrid and working three days in the office and two days remote.
