Overview
Summary:
The Talent Acquisition Specialist will be responsible for interacting with job candidates, new hires, and current coworkers while ensuring a positive experience. The Talent Acquisition Specialist will take the lead in ensuring a positive 1st day experience for new coworkers and coordinate new coworker orientation.
Principal Duties and Responsibilities:
Talent Acquisition:
Manage incoming applicant phone and written inquiries; write and send response letters/emails to candidates
Maintain Applicant Tracking System (ATS) with hiring manager interactions, daily updates, and current job postings; provide software and IT support via phone to potential candidates
Review applications of all Department of Transportation (DOT) new hires; communicate with candidates to ensure completion of required documentation
Analyze results of and perform background screen calls to candidates to determine hiring decisions; track responses and work closely with hiring committee and ATS
Process candidates: review and manage conditional offers via phone and/or email
Conduct phone screens to provide feedback and leads to hiring managers and acquisition team
Perform welcome calls and send welcome emails to candidates prior to start dates
Interdepartmental Communication:
Collaborate and coordinate with HR, Safety, IT, and Communications departments to ensure a positive day one experience
Communicate closely with HR Compliance Team to help ensure timely-scheduled physicals and drug screens as necessary
Initiate and review Motor Vehicle Reports (MVR) results as necessary; manage all documentation electronically
Talent Administration:
Track and maintain turnover information; annually supply appropriate data to trade associations and internal stakeholders
Maintain, construct and order supplies for new hire welcome gifts; order and ensure delivery of orientation lunches
Schedule orientation site and notify all involved departments; prepare and clean up conference rooms
Assist recruiting team with scheduling and participation at career fairs and community events
Support Talent Acquisition Department with special projects, occasional development resources, and implementation of healthy change across the organization Collaborate with Talent Analytics and Project Specialist to maintain the ATS and implement changes Serve on the Recruitment Team as needed

Education/Specialized Knowledge/Professional Certifications:
High School Diploma or equivalent required Bachelor's Degree, or a combination of work and education requiredExperience:
Applicant Tracking Software (ATS) management preferred
Administrative support preferred
Skills/Abilities:
Excellent written and verbal communication skills
Proficient in Microsoft Office Suite
Ability to maintain a high level of integrity and discretion when handling confidential information
Ability to identify problems and come up with an effective solutionWorking Conditions:
Operates within a professional office environment
Infrequent opportunities to observe operations environments, where noise levels may be high, and PPE required
Routine usage of standard office equipment such as computers, phones, photocopiers and filing cabinets
Able to remain calm in high pressure situations
Travel required up to 10-15% for orientation, interviewing, and other miscellaneous purposes; subject to change based on hiring trends/seasons
Physical Requirements:
Regularly required to talk or hear; frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms
Occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl
