Title: Medicaid Coordinator Work Unit: Office of Student Wellness Reports To: Executive Director of Student Wellness Contract Length: 12 months Pay Schedule: Coordinators - 12 Month Overtime Status: Exempt Hours: 40 Hours/week Union Status: Non-Union Licensure: N/A All positions with Santa Fe Public Schools require a post offer/pre-employment background check. Some positions have additional requirements as established by Federal or State Rules and Regulations. General Function: The Medicaid Coordinator is responsible for the coordination, implementation, and management of the Medicaid School Health Program (MSBS) for Santa Fe Public Schools. The coordinator provides training to all nursing, special education staff, and others as required regarding reimbursable services. This position requires the coordinator to conduct outreach services for uninsured and underinsured students in Santa Fe Public Schools. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities required. Education/Training/Experience: Minimum 3 years of positive experience in business environment Computer experience: Google Suite, Microsoft Proficient in Google Suite (Email, Calendar, Sheets, Forms, Docs, Meets, Whiteboard, etc.) Preferred Bachelor's Degree in business administration, education, public health, or related field Three (3) years experience related to Medicaid and/or in a school setting Spanish-speaking Training in trauma Familiarity with Special Education regulations and service delivery Knowledge/Skills and Abilities: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, and government regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of healthcare providers, educational staff, related service providers, district administrative staff and Board of Education. Ability to understand documents, define problems and draw valid conclusions. Strong interpersonal skills to coordinate and collaborate. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Must be able to compare, analyze, communicate, coordinate, instruct, synthesize, compute, evaluate, compile, negotiate, deal with problems and manage multiple priorities. Ability to perform basic math skills and compute rate, ratio, percent, and to draw and interpret graphs. Ability to work effectively under tight deadlines and heavy workload. Essential Job Functions: All functions are performed in accordance with established policies, procedures, safety and environmental regulations, facility and computer security policies and procedures. Functions are subject to change from time to time to meet the needs of the District. Current essential functions include but are not limited to the following: 1. Compliance and Collaboration with New Mexico Human Services Department of Health-Medical Assistance Division School health-Medicaid School Health Program (MSBS). Assure compliance with all Federal and State laws and mandates required by the MSBS program. Ensure District Medicaid documentation complies with all Federal and State laws and mandates required by the MSBS program. Monitor, prepare, and submit District, State and Federal reports related to MSBS. Attend and participate in all meetings and trainings required by NMHSD-MSBS. 2. Collaboration and Coordination with Nursing, Special Education, Educational Staff, and School District Administrators. Consult with the New Mexico Human Services Department of Health-Medical Assistance Division School health Office, school district administrators, and other healthcare professionals to establish and revise policies, procedures, and programs specific to the management of Medicaid in the schools. Prepare written and oral reports for Executive Director of Students Wellness, district administrators and state agencies as requested or required by the NMHSD-MSBS Program. Participate as a team member sharing information and resources as appropriate. 3. Budget and Resource Responsibility Maintain all records and documentation as prescribed by the MSBS Program and District for review and audit purposes. Monitor and record reimbursement remittance activities bi-weeky. Share information with the Executive Director of Student Wellness bi-weekly. Email/Share through Google Suite will be sufficient for this purpose. 4. Training and Support Services Identify training needs for health service providers, district administrators, and educational staff as related to the MSBS. Facilitate, organize, and/or provide training to school district staff and administrators related to the MSBS Program. Act as a resource person for the MSBS Program. 5. Medicaid Student Services Identify Medicaid eligible students on a monthly basis. Monitor billable health services provided by all district health care providers who are qualified health service providers. Perform outreach activities to assist underinsured and uninsured students with accessing health insurance and services. Maintain data to track all providers, students, and Medicaid billable health services. Maintain files and documentation for the MSBS program. Track certifications and licenses of school health providers and submitted to 3rd party billing agencies. Maintain student and employee confidentiality. 6. Supervisory Responsibilities Assist the Executive Director of Student Wellness with the supervision of the Medicaid Clerk/Specialist to ensure compliance with District and MSBS guidelines and regulations. 7. Other Duties As Assigned Other duties as assigned by immediate supervisor or district administrative staff. Promote and follow district policies and procedures. Salary Range: $60,000-$70,000 (Depends on Experience) Medical, dental, and vision benefits are available to full and part-time employees that work a minimum of 20 hours per week. Telephone, fax, copier, computer, badge machine, calculator. Internet to access Medicaid Portal and all MSBS required platforms. Physical/Cognitive Requirements: Regularly required to stand and move throughout a room and/or facility. Communicates verbally and electronically. Uses hands to handle or feel objects, tools, or controls and reach with hands and arms. Frequently required to stoop, kneel crouch, and/or crawl. Occasionally required to sit, climb, balance, and drive. Must occasionally lift and/or move up to 25 pounds. Specific vision abilities required include close vision, distance vision, color vision, and the ability to adjust focus. Must possess and maintain a valid driver's license and a private automobile. Some evening or weekend work and travel may be required. Maintain emotional control under stress. Environmental Conditions: Most work is performed indoors. Frequent interactions with people in person, via email, on the phone, or virtually will be necessary. Some sitting, standing, bending and reaching may be required. Travel from location to location is necessary. Must have dependable transportation. Tolerate moderate noise level. Personal Accountability: Demonstrates reliability as evidenced by attendance records and punctuality. Properly notifies supervisor and/or designee of absences or tardiness. Begins and completes work within the allotted time. Consistently appears in attire appropriate to the work environment. Demonstrates skill in the use of equipment including its capabilities, limitations and appropriate/ special application. Protects the District's resources through appropriate and careful use of supplies and equipment. Utilizes appropriate body mechanics to aid in the prevention of muscle strain/injury.
