PERKINS GRANT JOB DESCRIPTION: Provide administrative, technical, and financial support according to established procedures. Processing and tracking of federal, operational, and capital spending, inventories, stipends, and budget management. Maintain Career Technical Education (CTE) Synergy databases, data entry of federal data for required reports necessary to comply with grant funding. Collection, submission and reporting data for state/federal/ grant application and quarterly reports. Organizing and coordinating large group travel and professional development. Support to Career Technical Education Coordinator/Perkins Grant Director, CTE staff and students at middle and high schools. Posting requirements updated on 12/21/2023 This is a re-advertisement. ESSENTIAL FUNCTIONS Incumbent must achieve the following outcomes with or without reasonable accommodation: Adherence to budget set up and management of Carl D. Perkins grant funds, working knowledge of Lawson, Procurement requirements and special requirements, specific to grant funding/spending Knowledge of New Mexico Procurement Code Strong organizational, prioritizing and multi tasking skills. Manage the office when the Director is out of the office Maintains fiscal and compliance accountability records for Carl Perkins programs as required by Federal and State laws. Prepares submits and tracks funding requests to schools on HB33, SB9, Operational and Carl Perkins Redistribution funds. Sometimes facilitate, coordinates professional development for teachers. Ability to calculate operational supply allocation for CTE programs, in the middle and high schools, processing budget transfers to the schools and communicating with perspective staff regarding their allocation. Working knowledge of the Lawson financial system , processing orders, tracking and closure of all requisitions/purchase orders following district, state and federal requirements maintaining proper balances and sufficient funding as well as assurance that spending and payment deadlines are met. Review and prepare for stipend payments ensuring accuracy, appropriate backup documentation and grant compliance Work very closely with PED Perkins Grant Monitor assuring all federal conditions and guidelines are followed Work closely with a diverse group of CTE teachers, school personnel, professional development providers, vendors and district personnel to assure optimal support for CTE programs Ability to maintain a high volume of email communication from district and state departments, schools, CTE teachers in the middle and high schools, vendors, professional development, providers, CNM and processing issues which need immediate attention quickly and responding to instructor and student needs in a timely manner. Read and understand objectives and requirements of Carl D. Perkins Grant proposal for submission and to ensure compliance Review and assure that all financial expenditures, records and reports for grant are accurate and completed in a timely fashion meeting multiple deadlines annually. Monitor annual equipment inventories, salvage and transport of CTE equipment from school to school depending on program need. PREFERRED KNOWLEDGE, SKILLS, ABILITIES AND EXPERIENCE: Management skills, problems solving, decision-making and time management. Effective communication skills, both verbal and written. Interpersonal skills with diverse populations, in-person and on the telephone. Ability to meet deadlines and work on multiple projects. Knowledge of Grants. Knowledge of APS Procurement process, purchasing guidelines and regulations and State Statues. Knowledge of Lawson Financial System. Knowledge of bookkeeping/accounting practices.
