Based in Southern California with locations in Malibu, Calabasas, Westlake Village and Camarillo; HRL has been on the leading edge of technology, conducting pioneering research and advancing the state of the art. General Description: The S&R Coordinator/Dispatcher is a Union position and is to assist in daily business operations of the management team, to support S&R material handling support in the areas of Transportation which include Shuttle dispatcher, Fleet and rental, Movement (warehouse and D2D), chemical services, support office/lab furniture and support a growing department who are working on behalf of HRL, and to engage and provide leadership to a team of S&R Staff. This position has primary responsibilities to include planning, assigning, and evaluating assigned jobs completed by S&R Staff. The responsibilities include the daily field-coordination of the union team, and to assist in the coordination of multiple activities by aligning the needs of other departments, equipment, supplies, and other resources. The coordinator will oversee and support S&R activities at the Malibu, Calabasas, Camarillo, and Westlake campuses. Essential Duties:

•Dispatcher for shuttles and fleet. Communicate vital info from drivers to media and management which include. Changes to routes & schedules, Weather delays, road closures, traffic delays or emergency road side assistance.

•Maintains fleet files, Annual DMV renewals, Preventive maintenance, weekly car washes, key management & maintaining daily shuttle check off logs.

•Oversees fork lifts at each location Malibu, Lost Hills, Calabasas, Camarillo which include daily morning inspection sheets & Preventive maintenance.

•Responsible for vehicle rental process which, request review, monitoring activities, insurance policies, assigning keys, maintaining mileage logs, fueling up and inspecting vehicles after usage.

•Responsible for processing and issuing check requests for incoming receipts, and also for reconcile P-card purchases for Fleet fuel, Carwashes, notary fees, and others.

•Responsible for receiving, tracking, and distribution of incoming S&R Requests via email, front counter, movement calendar & Dock to Dock to the union staff, and for forwarding any Requests for Management approval.

•Processes all incoming vendor proposals to create purchase requisitions to support the management, staff, and others.

•Communicate accurately and in a timely manner, any problems which pertain to the operational status/readiness of all department equipment.
•Maintain movement calendar by adding events.

•Assists attendance documentation & performance, logging sick calls, and employee request time off request and maintains employee calendars for PTO, 9/80, Jury duty & Sick and assures each assigned locations and site has the necessary coverage

•Review incoming invoices and to make sure charges are correct by tracking of paid line items on a PO.

•Responsibility to process check requests where appropriate and necessary.

•Assist in the development and implementation of processes which enhance system efficiencies and increase productivity
•Submit for approval all vendor requests and visitor requests for property access through Security / SIMS.

•Tracks work performed by contracted vendor, Union staff and others.

•Responsible for socializing overtime, track labor hours of onsite service providers to validate hours worked are in agreement with the contract language, and hold accountable for any variances.

•Assists in maintaining stock of all shipping supplies, movement equipment, office supplies, and special use items.

•Assist with customer email & front counter request, and assist with communication processing urgent deliveries.

•Assist with managing training which include tracking, maintaining records & scheduling to remain compliant with: EHS, AS9100, UKG, IATA and DOT49 & onboarding.

•Assist with the assembly of Incident reports, CAR's, OFI's, monthly newsletter, ship & Receiving log entries & morning meeting minutes.

•Sends in work order metrics related to open items per process.
•Reviews freight carrier & uniform invoices to confirm that charges are correct.

•Assist space coordinators with Furniture inventory. Required Skills:
•Computer skills using Outlook, Excel, PowerPoint and Word. Experience with SharePoint and Smart Sheet is desired, but will train. Will be required to learn additional custom software packages such as Service Now & On base. Required Education:
•A 2-Year Degree in business, 2-Years' experience in S&R material handling or commensurate experience will be considered. Physical Requirements:

The pay range for this position is $38.21 - $41.53 per hour + bonus + benefits. Our pay ranges are determined by role and level.
