The Position
Provides comprehensive support to the Corporate Project Vice President, Development US East Coast Hub. Performs a wide range of highly diverse and complex assignments of a responsible and confidential nature. Requires a high level of discretion and collaboration across the organization. Monitors access and redirects correspondence on behalf of the executive based on priorities he/she sets.
Relationships
Directly supports the Corporate Project Vice President, Development US East Coast Hub. Interacts with internal and external stakeholders at the executive level requiring skill, tact, influence, and confidentiality. Interacts with global Headquarters (HQ) and affiliates on matters of importance. Provides direction/coordination of workflow to other administrative positions within the department/function and/or cross functionally. Participates on the leadership team of the function he/she supports.
Essential Functions
Performs a variety of routine office support, including but not limited to meeting/travel arrangements and processing expense reportsCollaborates closely with other administrators, business leaders and global colleaguesCoordinates and executes output and actions from the leadership team meetingsDesigns, plans, and executes moderate to large scale meetings and off-sitesAbility to multi-task and identify items that can be delegatedFunctions autonomously, exercises discretion and sound judgment, and works independently on a variety of assignments and special projectsMay lead moderately complex projects within own department or that have a cross functional natureMay provide support to team members for general administrative needs such as presentation development, greeting guests, and new hire onboardingMay support team with tracking budget spendQualifications
A high school diploma or GED requiredA minimum of 8 years of intermediate to advanced administrative or related experience required. Advanced training or administrative certification a plusAbility to handle complex sensitive and confidential informationAbility to interact with all levels inside and outside of the organization along with HQ and global affiliates Ability to manage multiple complex prioritiesAbility to understand implications of work and make recommendations for solutionsDemonstrates leadership abilitiesMost senior level non-exempt position requiring expertise and a high degree of initiative, innovation, and independent actionRequires demonstrated computer skills and use of Microsoft OfficeRequires in-depth knowledge of the job and a wide and comprehensive understanding of the policies and practices of the organization.
