What you will do

Lets do this. Lets change the world. The successful candidate will report to the Vice President of US Medical and be responsible for providing senior level administrative support and managerial activities.

  • Provide common and routine services (i.e. calendar management, travel arrangements and expense reports, candidate recruiting and requisitions, on-boarding/off-boarding, arrange workshops, etc.)
  • Provide leadership to US Medical Administrative team with respect to workload balance and prioritization, coaching and mentoring
  • Provide infrequent and routine services (i.e. off-site meetings, large meeting logistics, functional staff events, candidate feedback, catering requests, etc.)
  • May provide some more complex services (i.e. large complex meeting logistics, confidentiality agreements, scientific and medical conference logistics, corporate event planning bi-monthly, quarterly or annually)
  • Provide access to end user training and, where appropriate, assist with self-service tools such as Concur and Skype
  • Manage calendars (ED, VP or SVP, but not limited to)
  • Acts as a service owner within the function
  • Back-up support (SVP)
  • Inbox management (comprehend, take action and respond on behalf of executives (VP/ED)
  • Oversight and proactive management of day-to-day activities
  • Coordination and partnership with functional SPOs
  • Communicate with Executives (draft, format and distribute communications)

Basic Qualifications:
  • Bachelor's Degree
Or
  • Associates degree and 4 years of administrative experience
Or
  • High school diploma / GED and 6 years of administrative experience
Preferred Qualifications:
  • Bachelors degree and direct experience supporting senior executives for a large corporation
  • Experience working in biopharma industry
  • 8+ years of Administrative Assistant experience supporting large teams at different levels and in different geographic locations including remote workers
  • Experience managing multiple calendars including coordination across multiple time zones
  • Excellent travel and meeting planning skills
  • Excellent written, verbal, and presentation skills in communicating key business and clinical information including speaking in front of medium to large groups while using appropriate AV equipment
  • Ability to liaise with cross-functional team members and effectively communicate with internal and external business partners
  • Expert level PC skills in MS Outlook, Excel, PowerPoint, and Word (i.e. word processing, presentations, and spreadsheet skills) as well as Cognos, SharePoint, Learning Management Systems and Skype
  • Outstanding organizational, time management, project management and interpersonal skills
  • Ability to manage multiple tasks, prioritize and meet deadlines
  • Ability to resolve problems with limited supervision
  • Ability to work in a fast-paced, deadline-driven environment
  • Absolute discretion and confidentiality, as well as judgment, creativity, flexibility and initiative in resolving issues
  • Discretion in dealing with proprietary information

The expected annual salary range for this role in the U.S. (excluding Puerto Rico) is posted. Actual salary will vary based on several factors including but not limited to, relevant skills, experience, and qualifications.
