Job Description

Responsibilities include, but are not limited to the following:

EMIS Reporting

Assist in training selected staff members on EMIS procedures and operations, to include data entry and retrieval, error resolution and report generation

Work with school departments to make corrections on required informational reports generated by EMIS or other automated systems

Assess the quality of the data entered as required for each EMIS reporting

Maintains course and scheduling setup in alignment to mandated State EMIS guidelines

Attend meetings with the other coordinators as a district liaison for EMIS, including meetings with State Department of Education staff

Collects and completes the required data for the state accounting reports for the purpose of meeting state requirements

Attend appropriate system internal and external user meetings as a district representative

Student information System Management (PowerSchool)

Leads as the district administrator for PowerSchool setup, management, and maintenance, ensuring it follows compliance metrics within KIPP Columbus policies and state regulations

Responds to PowerSchool and EMIS needs in a timely manner as communicated through our helpdesk ticketing system

Coordinate the collection and processing of data for the state systems for the purpose of ensuring compliance with state reporting requirements

Coordinate with other staff to collect key information around school setup (e.g. collection of master schedules, rollover procedures, lunch/bell schedules, school calendar) to ensure that it is accurately reflected in PowerSchool

Design report options and/or database applications (e.g. report cards, registration forms, lunch program) for the purpose of providing personnel with information customized to their specific needs

Instruct other personnel (e.g. provides in-service training, set-up individual accounts, issue passwords, and resolve lock concerns) for the purpose of ensuring proper and efficient usage of system and notifying users of system changes

Maintain database program portals (e.g. parental access) for the purpose of providing current electronic information to families

Run maintenance programs daily, weekly and monthly for the purpose of ensuring efficient program operations

Organize, schedule and conduct parent and teacher training sessions on student information systems

Coordinate with key vendors or other leaders on the Data and Academic team to ensure any data migrations and program integrations with PowerSchool are successful (e.g. Clever, Parent Square, Pikmykid)

Student and Family Data Reporting

Ensures the successful migration of enrollment data from our school enrollment platform (SchoolMint) into PowerSchool and other data systems

Handle registration processing, forms, documents and records, and related information for formal student registration; as well as all related data entry

Update student records in PowerSchool and manage data over course of student enrollment across the schools (enrollment, records requests, and withdrawals) in alignment with state and school guidelines

Assist in establishing and updating permanent student files, the transfer of records and closing out of graduate data files

Provide and support special reporting requests related to enrollment and student data found within PowerSchool and/or EMIS

Perform related work as required, or assigned
