Senior Administrative Assistant

The Senior Administrative Assistant will play a crucial role in ensuring smooth operations and facilitating effective communication across various levels of the organization.

Qualifications of the Senior Administrative Assistant:
  • 3+ years of experience in an administrative or office management role

  • Experience with Microsoft Office Suite, Excel, Calendly, and other platforms

Responsibilities of Senior Administrative Assistant:

  • Executive Support: Provide high-level administrative support to executives, including managing calendars, scheduling meetings, arranging travel, and handling correspondence.

  • Office Management: Oversee day-to-day office operations, including maintaining supplies, equipment, and facilities. Coordinate with vendors and service providers as needed.

  • Document Management: Organize and maintain physical and electronic files, ensuring accuracy, confidentiality, and accessibility. Prepare and edit documents, reports, and presentations as required.

  • Communication: Serve as a primary point of contact for internal and external stakeholders. Screen and direct phone calls, emails, and other inquiries appropriately. Facilitate effective communication within the team and across departments.

  • Meeting Coordination: Plan, coordinate, and support meetings, conferences, and events. Prepare agendas, gather materials, and ensure all logistical arrangements are in place. Take minutes and follow up on action items as necessary.

  • Project Assistance: Assist with special projects, initiatives, and research assignments as assigned. Collaborate with team members to ensure timely completion of tasks and deliverables.

  • Data Management: Maintain databases and spreadsheets with accurate and up-to-date information. Generate reports and analyze data as required to support decision-making processes.

  • Administrative Support: Provide general administrative support to team members, including drafting correspondence, scheduling appointments, and handling expense reports.

  • Problem Solving: Proactively identify and address potential issues or challenges. Offer creative solutions and implement improvements to enhance efficiency and productivity.
