Within the Stead Family Department of Pediatrics, provide administrative support for the Division of General Pediatrics and Adolescent Medicine the Division of Pediatric Hospital Medicine. Under general supervision, performs secretarial work such as composing correspondence, compiling specialized reports, coordinating activities, and obtaining and providing information requiring interpretation of the policies and procedures of both the assigned and related work areas. Duties involve the use of personal computers, computer terminals, and a variety of software and/or conventional office equipment. May provide functional supervision. Position Responsibilities: Data entry for grants and research. Make decisions and exercise a moderate level of autonomy while performing administrative support/management responsibilities including managing complex schedules, correspondence, and travel arrangements. Serve as administrative contact and liaison for Division for college, university resources, and outside agencies. Assist with provider and staff onboarding; order business cards, lab coats, and pagers according to Departmental standards; schedule required training. Assist in monitoring accounts/expenditures - Monitor professional development fund balances for Faculty; respond to questions or inquiries from Faculty; submit requests for reimbursement to University Shared Services. May assist with inpatient and outpatient provider schedules by creating, reviewing, and maintaining day to day updates. May assist with coordination of conferences or symposiums hosted by the Department, Division or Program in accord with prescribed parameters and guidelines; arrange location and catering; prepare materials and handouts for attendees; and arrange audio/video equipment for presentations. Clinical services include the inpatient evaluation and treatment for a wide range of acute and chronic health conditions, in addition to newborn care. The division provides consultative services for surgical and medical subspecialities as well as telephone consultation for any pediatric provider in the state. Minimum Eligibility Requirements: Any combination of related clerical office experience, related undergraduate education and/or post high school clerical training that is the equivalent to four years of full-time employment and includes the use of word processing. Desired Qualifications: Excellent written and verbal communication and interpersonal skills. Demonstrated experience providing administrative support to multiple leaders or providers. Demonstrated customer service experience in a fast-paced environment. Demonstrated proficiency with Electronic Health Records systems such as Epic. Demonstrated proficiency with Microsoft Office applications (i.e., Word, Excel, Outlook, and PowerPoint). Demonstrated proficiency with virtual meeting platforms (i.e., Zoom, Microsoft Teams).
