MAIN FUNCTION: Serves as an assistant to the program directors. The role will be to have a thorough and complete understanding of the basic standards in respective specialty. This position is responsible for ongoing maintenance of all the stages of residency program(s). Coordinator will serve as a liaison between program director and residents, faculty, and other institutional personnel. DUTIES AND RESPONSIBILITIES: 1. Supports program director in all programmatic activities such as scheduling program specific exams, call schedules, PTO requests, and Personal Development reimbursement for residents. 2. Has a thorough understanding of all accreditation standards and regularly reviews updates as to advise program director on regulatory requirements. Will keep accurate record of resident on-call schedules to ensure compliance with accrediting organization and NYS residency work hour limits. 3. Is primarily responsible for scheduling candidates for interview, as well as arranging faculty interviews, resident hosts, tours, and any other activities planned for the candidates. Coordinator must ensure appropriate on boarding paperwork (HR and payroll forms) are processed for incoming residents. Will assist with all on boarding activities. 4. Organizes and reviews remedial plans when needed, keeps individual files on all residents to include their evaluations from various rotations, both formative and summative evaluations. 5. Enters trainee information into AOA Opportunities, TRIVA, and communicates resident information to respective specialty governing body. 6. Has a formal line of communication to the Director of Graduate of Medical Education as well to ensure regulatory aspects of the residency. 7. Prepares for any inspection involving respective program and ensure that all proper paperwork is completed, affiliation agreements, resident evaluations, and faculty evaluations to ensure all meet accreditation standards. 8. Has a thorough and complete understanding of designated Residency Program Software used to track all resident information, evaluations, and duty hours. Ensure correct rotation information is inputted, track evaluation completion, and provide follow up in a timely manner. 9. Has excellent interpersonal communication and organizational skills. The coordinator is the front line representative of the program and must represent the program effectively and professionally. 10. Reports to Senior Residency Coordinator and works primarily as a liaison between the residency director, chief residents, faculty and student community, so an ability to efficiently relay information in a clear and concise manner is of the utmost importance. 11. Submits detailed records of resident training, including rotations completed, dates of rotations, and dates of all leave time taken. Verify all training degrees and send certification of training as needed. 12. Is responsible for attending all annual mandatory educational programs as required by position. 13. Employee understands and demonstrates the importance of satisfying the needs of the customer/patient by interacting with him/her in a friendly and caring way, being attentive to the customer's needs, both psychologically and physically, and by taking the initiative to maintain communication with the customer in order to provide a secure and pleasant experience with the Medical Center. 14. EDUCATION: An associate's degree is the minimum education preferred for entry level candidates, although those with equivalent training/experience will be considered. The most desirable candidates would have a bachelor's degree in administration or management. EXPERIENCE: Coordinator level experience and medical terminology knowledge is a must. CARDIOPULMONARY RESUSCITATION (CPR) REQUIRED: No CPR requirements. PHYSICAL DEMANDS: Light physical lifting. Typical office work. EXPOSURE CATEGORY: Category III.
