Community Alliance, offering an integrated health care approach and built on an array of mental health and primary care services, is seeking a Receptionist/Office Assistant . Ideal candidates will have passion for working with vulnerable populations and comfortable in collaborating with other professionals to empower clients to achieve self-defined goals.

Summary:

The ideal candidate will have previous experience supporting professionals in an office setting. An individual employed in this position performs a wide range of receptionist, clerical, scheduling and office support responsibilities. In addition, an individual in this position is responsible for contributing to a safe, supportive and welcoming environment for persons served, employees, and visitors and callers.

Duties include:

Welcoming clients and visitors in a prompt, professional, and courteous manner and directing people to appropriate staff.
Typing correspondence, reports, program-related documents, forms, and other materials with a high degree of accuracy and timeliness.
Answering incoming calls efficiently and accurately by directing the callers to appropriate staff and/or taking messages as needed.
Accurately inputting information into database systems related to program services and preparing related reports.
Maintaining and ensuring sufficient, current program forms for staff usage all at facilities.
Accepting and tracking donations and daily receipts of cash and/or checks for transmittal to the finance team and receipt of packages and mail.
Preparing and collating copies of internal documents and packets.
Maintain availability of office supplies and organizational materials
Assist staff in planning and preparation for meetings and appointments as requested

Minimum Qualifications:

Post-secondary graduation from accredited school or successful completion of vocational training program relevant to position. A minimum of two years relevant experience of a professional nature may be substituted for the post-secondary or vocational education.
Previous experience supporting professionals in an office setting.
Demonstrated ability to efficiently, effectively, and professionally answer multi-line phone system.
Familiarity with computer software including proficiency in word processing; minimum 50 words per minute typing/word processing speed with high degree of accuracy. Must be able to pass standard on-line typing test.
Demonstrated ability to multi-task, work under time constraints, maintain focus in high-traffic area, respond to multiple staff, and balance priorities.
Ability to operate desktop computer, typewriter, fax machine, copy machine, and other routine office equipment.
Ability to initiate and complete tasks in areas of responsibility with moderate supervision.
Good oral and written communication skill
Ability to effectively and positively interact with diverse groups and individuals, including consumers, human service providers, government officials, co-workers, volunteers, and the community at large.
