OVERVIEW OF THE RECEPTIONIST/ACCOUNTING ASSISTANT ROLE:
- Process billing payment documents accurately and efficiently.
- Receptionist ensures timely payment to all suppliers/vendors.
- Reconcile credit card receipts with the general ledger and record deposits.
- Maintain and update vehicle files monthly, including sending out vehicle spreadsheets.
- Manage collections on accounts as per aging reports.
- Receptionist prepares financial statements and reports upon request, assisting with annual audits as necessary.
- Support the Bookkeeper with various accounting duties including AR Billing, payables, and collections.
- Coordinate payment to subcontractors in collaboration with Project Managers, distributing checks to subcontractors and employees.
- Organize office events and celebrations, including coordinating birthday lists and card signings.
- Receptionist monitors office supplies and facilitates ordering when necessary.
- Manage appointment calendar, attendance board, and conference room reservations.
- Provide receptionist services including welcoming visitors, answering phones, directing calls, and collecting payments.
- Support office operations by maintaining the filing system and managing documentation.
- Perform other duties as required to ensure smooth office operations.
PREFERRED QUALIFICATIONS FOR RECEPTIONIST/ACCOUNTING ASSISTANT ROLE:
- College degree preferred. High school diploma or GED required.
- The Receptionist needs a valid Pennsylvania Driver's License.
- Basic to intermediate Excel skills, proficiency utilizing 10-key by touch is required.
- 5+ years of relevant work experience, or equivalent of education and experience.
- Experience working in a high-volume AR/AP, fast-paced environment.
- Construction industry experience preferred.
