GuidePoint Security, LLC is looking for a Federal Proposal Coordinator to join a growing proposal operations and growth organization. The Proposal Coordinator supports proposal development and coordinates activities between the Proposal Manager, internal supporting resources, and subcontractors when developing proposals in support of our federal region. They are responsible for all administrative aspects of proposal development. The qualified candidate ensures a high quality of all deliverables associated with assigned tasks and meets all required performance standards. The candidate is an organized, "self-starter" who understands and/or desires to learn the intricacies of doing business with the federal government. Additionally, this position is responsible for response review, editing, creating, and using compliant proposal templates in preparation for submission. The Proposal Coordinator is responsible for all desktop publishing of the proposal templates using Microsoft Office Suite to include TOC, Exhibits, Tables, Figures, Charts, Headers, Spacing control of text and integrated graphics, etc. What You'll Get To Do: Support Proposal Manager during all stages of the proposal development process including: Analyze requirements and develop draft compliance matrices, schedules, outlines, and templates Coordinate color reviews Organize kickoffs Manage invitations for various proposal team meetings Perform desktop publishing in MS Word, MS Excel, and other tools (e.g., Adobe Acrobat) to ensure documents are properly formatted, compliant with RFP requirements, easy to read, and visually appealing Adhere to style guide and reinforce that proposal team authors adhere to all such style guides - manage document version control Must be able to work effectively under time constraints in a dynamic environment, while maintaining a high level of attention to detail. Works with graphic designers to plan visual representations of concepts
• Assists in creating tables, charts, and figures for inclusion within proposal. Assists in creating data calls for Subject Matter Experts (SME) and Operations Managers for proposal reference. Compiles questions from solicitation for review and submission
• Assist with Past Performance Questionnaires (PPQ) Assist with past performance narratives and resume mapping with opportunity requirements highlighting "Relevancy" and "Confidence" in references Parse and compile artifacts to maintain proposal department content library and update content
• Interview Subject Matter Experts, as needed Serve as the scribe for working group sessions and proposal meetings, recording status and action items, and distributing the information to the attendees in a timely manner following the meeting When appropriate, attend pre-proposal meetings, site visits, and industry days with designated staff
• Maintain relevant proposal metrics and post-award lessons learned information Attend Debriefing for unsuccessful contract bids and write notes of debrief Other duties as assigned You'll Bring These Qualifications: Bachelor's degree and 4 years of proposal experience or additional equivalent experience in lieu of education Experience specifically focused on Government proposals, is desired The candidate must have the ability to work independently and proactively to meet deadlines, excellent verbal and written communication skills, and the ability to communicate to all levels of the organization and work as part of a team, excellent organization skills The candidate must have the ability to work collaboratively with proposal team members, GuidePoint employees and outsourced consultants to produce quality documents for delivery to a variety of clients Characteristics necessary for success include analytical, presentation, reasoning, and problem-solving skills; the ability to operate independently with minimal supervision or feedback; and the ability to establish a solid working relationship with supported staff, managers and peers Candidate must have demonstrated proficiency with MS Office (Word, Excel, PowerPoint) High sense of urgency to produce a quality proposal and strong initiative and attention to detail Must be willing to work the hours necessary to accomplish the tasks assigned which may include evenings or weekend support as needed We use Greenhouse Software as our applicant tracking system and Free Busy for HR screen request scheduling.
