Position Title: Pro Shop Receiving Clerk

Department: Golf Shop

FLSA Designation: Non-Exempt (Hourly)

Directly Reports To: Buyer and Merchandise Manager


Position Summary

The Receiving Clerk for the Pro Shop at Riviera Country Club is responsible for managing the inventory and receiving process of merchandise and supplies. This role involves receiving shipments, verifying accuracy, organizing inventory, and maintaining proper documentation. The Receiving Clerk works closely with the Pro Shop staff, vendors, and the Buyer & Merchandising Manager to ensure efficient operations and exceptional customer service. This is a part-time position which is between 20-30 hours a week.

About You

You play a pivotal role in ensuring the smooth operation of our procurement and inventory management processes. You are someone who values structure and organization, you're Innovative & logical, and enjoy data& analysis. Your attention to detail, organizational skills, and commitment to excellence are essential for maintaining accurate records and efficient handling of incoming shipments. With your exceptional communication abilities, you will liaise effectively with vendors, club staff, and management to coordinate deliveries and resolve any discrepancies. Your proactive approach and problem-solving mindset will contribute to maintaining optimal inventory levels and supporting the club's overall operational efficiency.


Position Responsibilities

  • Receiving and Inspection: Receive incoming shipments of merchandise and supplies for the Pro Shop. Inspect deliveries for accuracy, quality, and condition. Verify that the received items match the purchase orders and packing lists.
  • Inventory Management: Maintain accurate inventory records of all merchandise and supplies in the Pro Shop. Organize and stock inventory shelves and storage areas. Perform regular inventory counts to ensure stock levels are accurate.
  • Documentation and Recordkeeping: Create and maintain proper documentation for all received shipments, including purchase orders, packing slips, and invoices. Enter relevant information into the inventory management system or database.
  • Quality Control: Ensure that all received merchandise meets quality standards and matches Pro Shop's specifications. Identify and report any discrepancies, damages, or quality issues to the Inventory Manager or appropriate personnel.
  • Communication and Coordination: Collaborate with the Pro Shop staff and vendors to ensure smooth and timely delivery of merchandise. Communicate with vendors regarding order status, delivery schedules, and any issues or concerns.
  • Returns and Exchanges: Process returns or exchanges of merchandise as required, following established procedures. Coordinate with vendors and the Buyer & Merchandise Manager to resolve any return or exchange issues.
  • Organization and Cleanliness: Maintain a clean and organized receiving area. Properly dispose of packaging materials and ensure a clutter-free and safe workspace.
  • Compliance: Adhere to all relevant policies, procedures, and regulations related to receiving, inventory management, and safety. Follow proper handling and storage guidelines for different types of merchandise.
  • Team Collaboration: Collaborate with the Pro Shop staff, Buyer & Merchandise Manager, and other departments within Riviera to ensure effective communication and coordination of inventory-related activities.

Specific Job Knowledge, Skills and Abilities:

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities:

  • Must be able to speak, read, write, and understand the primary language(s) used in the workplace.
  • Must be able to read and write to facilitate the communication process.
  • Requires good communication skills, both verbal and written.
  • Must possess basic computational ability.
  • Club essential software experience preferred.
  • Golf Genius experience preferred.
  • Golf experience is preferred.

Education

High school graduate, college graduate preferred.


Experience

  • At least two years of experience at an established club

Physical Demands

  • Most work tasks are performed indoors. Temperature is moderate and controlled by club environmental systems; however, must be able to work in extreme temperatures like outside ( F), possibly for one hour or more.
  • Must be able to stand and exert well-paced mobility for up to 5 hours in length.
  • Must be able to exert well-paced ability to maneuver between functions occurring simultaneously.
  • Must be able to exert well-paced ability to reach other departments of the club on a timely basis.
  • Must be able to lift and move boxes weighing up to 30 lbs. on a regular and continuing basis.
  • Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening, and hearing ability and visual acuity.
  • Requires manual dexterity to use and operate all necessary equipment.

Grooming

All employees must maintain a neat, clean, and well-groomed appearance per club standards. Professional business attire required.

Other

Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position. Employees with irregular attendance will be subject to disciplinary action, up to and including termination of employment.


Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the club. In addition, attendance at all scheduled training sessions and meetings is required.

Compensation

$20 - $22/ hour
